Role Overview
As a Business Support Coordinator based at Shebara Resort, you will deliver administrative and coordination support essential to the smooth daily functioning of the resort's business operations. Supporting the Executive Office and working closely with the General Manager and department heads, your role will involve managing documents, data, reports, meetings, communications, and cross-departmental coordination to optimize operational efficiency and ensure professional task completion.
Key Responsibilities
- Provide daily administrative assistance to the General Manager and department leaders to maintain efficient office operations.
- Support the creation, compilation, and distribution of reports relating to operations, finances, and performance metrics.
- Monitor and follow up on action items arising from leadership meetings, ensuring accurate records and timely completion.
- Draft and format business correspondence, presentations, meeting agendas, minutes, and other relevant documents.
- Maintain organized and confidential filing systems, records, and databases with up-to-date information.
- Arrange meeting schedules, calendar management, room bookings, invitations, and prepare meeting materials.
- Distribute internal communications such as notices and updates throughout the resort as required.
- Assist with procurement-related administrative tasks including requisition processing, approval tracking, vendor coordination, and contract documentation.
- Facilitate cross-departmental coordination by collecting information, tracking progress, and ensuring timely completion of administrative duties.
- Undertake additional administrative and coordination tasks to support seamless resort operations as assigned.
Required Qualifications and Skills
- Diploma or Bachelor's degree in Business Administration, Hospitality Management, Office Administration, or a related discipline.
- Between 1 to 3 years' experience in administrative, coordinator, executive assistant, or business support positions — hospitality or luxury hotel environments are preferred.
- Exceptional organizational skills and ability to manage multiple priorities while meeting deadlines.
- Excellent English communication skills, both written and verbal; proficiency in Arabic is an advantage.
- Proficiency with Microsoft Office applications (Excel, Word, PowerPoint, Outlook) and familiarity with Claude.
- Experience with hospitality management systems such as Microsoft Dynamics 365, SAP, or Oracle is beneficial.
- Strong attention to detail with accuracy in preparing reports, presentations, and documentation.
- Ability to handle confidential and sensitive information responsibly and discreetly.
- Effective interpersonal skills to build collaborative relationships across various departments.
- Self-driven, proactive, capable of working independently and contributing positively to team efforts.
- Professional demeanor and a service-focused approach aligned with luxury hospitality standards.
Preferred Qualifications
- Fluent English language skills are mandatory; additional languages are advantageous.
- Experience working in remote, island, or ultra-luxury resort environments is considered a plus.
