Job description
Role Overview and Responsibilities
The Permit to Work (PTW) Coordinator will oversee and manage the comprehensive PTW system for construction and commissioning tasks, ensuring strict adherence to project protocols. Key duties include reviewing, issuing, and monitoring work permits as per established procedures, maintaining centralized records, and guaranteeing that work is carried out within authorized conditions.
Authorization and Risk Assessment
This role requires validating that Job Safety Analysis, Risk Assessments, and Method Statements are approved before permit issuance, ensuring hazards and control measures are identified along with emergency procedures. The coordinator must supervise high-risk activity permit reviews and collaborate closely with HSE, Construction, Commissioning, and Operations teams for permit approval.
Managing High-Risk Activities
Coordination and control of permits for critical tasks such as Hot Work, Confined Space Entry, Excavation, Lifting and Crane operations, Electrical Isolation, Work at Height, Radiography, Pressure Testing, Mechanical Isolation, and Commissioning are essential responsibilities.
Isolation and Lockout/Tagout (LOTO) Management
Ensuring that isolation requirements are verified before issuing permits and that LOTO procedures are strictly applied is crucial. The coordinator manages electrical, mechanical, and process isolations in liaison with respective departments, maintains isolation logs, and confirms proper restoration after job completion.
Site Coordination and Oversight
Regular site inspections to confirm compliance with permit conditions, authority to suspend or revoke permits when hazards are detected, and managing permit coordination among contractors, subcontractors, and commissioning teams are expected. Participation in daily planning and coordination meetings is required.
Health, Safety, and Environmental Compliance
The coordinator ensures all activities comply with HSE standards, client expectations, and legal requirements, actively promoting safe work protocols and raising permit awareness. Support for toolbox talks, safety campaigns, permit training, and incident investigations related to permit work is part of the role.
Documentation and Reporting
Maintaining precise PTW documentation, logs, and reports on daily, weekly, and monthly activities falls under this role. Tracking compliance trends and generating reports for audits and inspections to support continuous improvement is mandatory. Records must follow project document control standards.
Stakeholder Engagement
Effective communication and coordination with internal teams such as Construction, Commissioning, HSE, QA/QC, and Operations, along with clients, consultants, and regulatory bodies regarding permit processes, audits, and reviews, are vital to ensure seamless project execution.
