Job description
Role Overview
The Licensing Officer will oversee the entire process of health and trade licence management within the UAE, primarily focusing on healthcare facility and pharmacy-related regulatory compliances. This role demands coordination across multiple government bodies and internal departments to ensure smooth application, renewal, and regulatory adherence.
Key Responsibilities
- Coordinate and manage the renewal processes for healthcare facility licences issued by the Department of Health (DOH) and trade licences issued by the Department of Economic Development (DED).
- Handle new licence applications as well as amendments including changes in ownership, locations, and other licence-related modifications.
- Facilitate preliminary approvals from DOH for newly established pharmacies and healthcare facilities.
- Process applications related to the transfer of responsibilities such as Pharmacist-in-Charge and Controlled-in-Charge positions.
- Prepare, examine, and submit all pertinent regulatory documents to ensure compliance with legal requirements.
- Track application statuses and address inquiries or feedback from government authorities in a timely manner.
- Keep an up-to-date licensing calendar to guarantee all licences are renewed ahead of expiry dates.
- Maintain continuous communication and liaison with both internal departments and external stakeholders including legal experts, consultants, and government officials.
- Stay informed about current regulatory changes and ensure relevant updates are communicated effectively to impacted teams.
- Maintain organized electronic and physical archives of all licence-related paperwork, approvals, permits, and official communication.
- Provide support during regulatory inspections, audits, and compliance reviews.
Qualifications and Experience
- Bachelor's degree in Business, Healthcare, Public Administration, Law, or a discipline related to regulatory compliance.
- Between 2 to 4 years of relevant work experience in the UAE focused on regulatory licensing, government relations, or healthcare administration.
- Practical familiarity with DOH and DED licensing protocols is highly desirable.
- Professional exposure in sectors like pharmacy, healthcare, pharmaceutical, or medical industry considered an advantage.
- Proficient understanding of UAE government platforms and licensing processes.
- Strong organizational capabilities, superior communication skills, effective follow-up habits, and the ability to manage stakeholder relationships.
- Adept at handling several licence applications simultaneously and meeting stringent regulatory deadlines.
- English language fluency is mandatory; Arabic language skills will be considered a plus.
