About the Role

The Document Controller plays a crucial role in managing the project's Document Management System and Digital Field Tools, ensuring all documents are properly handled and compliant with Digital Project Delivery (DPD) procedures and relevant ISO standards (ISO 19650, BS 1192, PAS 1192). This role involves delivering training, supporting project teams, and continuous improvement of information workflows.

Key Responsibilities

  • Validate, classify, verify, register, distribute, and retrieve all project documentation accurately following established protocols.
  • Maintain central site files including uncontrolled drawings and registers, and collate Operation & Maintenance, Health & Safety, Quality, Environmental, and BCAR documentation.
  • Implement and manage change control procedures within the Common Data Environment (CDE).
  • Prepare distribution matrices, status reports, and workflow management for sample submissions, Technical Queries (TQs), Requests for Information (RFIs), and other critical project data.
  • Collaborate proactively with project teams and stakeholders through meetings to address documentation and information management matters.
  • Identify and drive improvements to minimize waste and risks in document handling and workflows.
  • Provide cover for other Document Controllers during absences to ensure seamless operation.
  • Support compliance with company-wide DPD standards.
  • Deliver training sessions on use of digital field tools like VFP and FV, individually or to groups.
  • Serve as the primary resource for coaching and supporting various project users including clients, designers, subcontractors, and supply chain partners.
  • Assist in defining and refining project file naming conventions and workflow procedures under the guidance of the Information Systems Manager.
  • Consistently encourage project teams to adhere strictly to DPD protocols throughout project delivery.

Experience Required

  • Proven experience handling projects involving high volumes of data from diverse sources.
  • Strong communication skills with the ability to educate multiple stakeholders on DPD protocols.
  • Previous collaboration with multidisciplinary design, client, subcontractor, and supply chain teams.
  • Willingness and capability to train and mentor colleagues.
  • Familiarity with file naming standards.
  • Excellent organizational, prioritization, multitasking, and time management capabilities.
  • Analytical mindset, self-motivated with strong attention to detail.
  • Expertise in document preparation, formatting, and resolving issues efficiently.
  • Interest or experience in project delivery processes and the construction sector is advantageous, especially in infrastructure projects.

Qualifications

  • Advanced proficiency in Microsoft Office applications.
  • Working knowledge of ISO 19650, BS 1192, and PAS 1192 standards.
  • Experience configuring and managing compliance-based systems aligned with ISO 19650 is desirable.
  • Advanced experience using Field View, Dalux, or similar digital field management tools is preferred.
