Job Overview
This role is focused on efficiently managing and overseeing all project-related documentation throughout the entire project lifecycle. The incumbent will utilize Oracle Unifier to handle documentation processes ensuring alignment with project procedures, client expectations, and quality standards.
Key Responsibilities
- Administer all project and engineering documents including those related to construction, QA/QC, commercial aspects within Oracle Unifier.
- Handle the registration, uploading, dissemination and monitoring of technical submittals, drawings, RFIs, method statements, inspection requests, and related correspondence.
- Ensure accurate document numbering, manage version control, document metadata and status consistent with the project's Document Management System.
- Supervise the document review workflows to guarantee timely approvals and controlled dispatch among clients, consultants, and subcontractors.
- Prepare and distribute official transmittals, maintain document registers and generate status reports on documentation.
- Collaborate closely with multidisciplinary teams including engineering, planning, procurement, construction, and QA/QC to verify documentation completion and currency.
- Manage controlled distribution of up-to-date approved drawings and ensure outdated documents are not used.
Required Skills and Expertise
- Proven experience with Oracle Unifier for document management purposes.
- Familiarity with documentation requirements specific to railway or metro infrastructure projects.
- Solid knowledge of document control workflows, managing revisions, and executing transmittal procedures.
- Proficiency with Microsoft Office suite (Excel, Word, Outlook) and software for managing PDFs.
- Strong organizational ability, effective communication skills, and coordination aptitude.
