Role Overview
The Administration Partner is key to an innovative service delivery model aimed at maximizing frontline support across multiple villages. Reporting to the Operations Business Manager, this fixed-term role provides dedicated remote administrative support, allowing Village teams more time to focus on exceptional customer service and resident care. Options for part-time or full-time engagement are available, and internal candidates may consider secondments. The appointment runs until March 31, 2027.
Primary Responsibilities
- Enhance frontline operations using your administrative expertise to improve customer service delivery.
- Offer ongoing administrative assistance to Village and Care teams, ensuring clear communication and timely responses to enquiries and requests.
- Prepare and maintain accurate monthly registers, templates, and tools, ensuring availability for Village teams.
- Manage resident administration and billing by keeping resident data precise in VCare and handling resident on-charging records efficiently.
- Oversee financial administration tasks including creation and maintenance of purchase orders within defined authority limits.
- Serve as the first contact for accounts payable issues, investigating and resolving billing disputes.
- Develop and sustain strong collaborative relationships across diverse stakeholders and teams.
Candidate Profile
The ideal candidate is an organised and proactive administrator with excellent communication skills, adept at structuring busy workflows. This role demands autonomy, multi-tasking ability, and confident stakeholder support. Precision, clarity in communication, and a drive to innovate processes for better team performance are essential qualities.
Key Requirements
- Experience in administrative roles within aged care or retirement living settings is preferred.
- Demonstrable success in delivering high-quality customer service internally and externally, fostering positive relationships, and genuine care for residents, even when supporting remotely.
- Competency in accounts payable and receivable management.
- Strong skills in data entry and database accuracy upkeep.
- Proficient in Microsoft Excel, Copilot, Word, Teams, Outlook, and PowerPoint.
- Proactive in recommending and implementing process improvements for time and resource efficiency.
- Trustworthy in handling confidential information responsibly.
- Highly organised with the ability to manage numerous tasks efficiently under short notice.
- Capable of adapting to existing and new software systems, including AI assistance tools.
- Demonstrates honesty, punctuality, and reliability.
