Overview
The Building Manager role involves being the primary on-site authority overseeing the daily operations of a prestigious multi-tenant commercial office building located in Limerick city centre. This position entails managing building services, contractor coordination, security and access control, statutory compliance, energy efficiency, and maintaining tenant relations to the highest standards expected of a premium corporate address.
Key Duties
- Supervise day-to-day building operations including plant maintenance, common and external areas, as well as car park management while ensuring enforcement of opening and closing protocols.
- Conduct and document daily walkthroughs covering internal and external zones, promptly reporting any defects, safety risks, or housekeeping issues to either the client or relevant contractors.
- Constantly monitor Building Management System (BMS) alarms, swiftly addressing issues to maintain occupancy comfort levels.
- Oversee HVAC, electrical systems, water supply, lifts, emergency power, and fire safety equipment; coordinate required statutory inspections and servicing.
- Manage on-site stock of consumables and spares; report on lifecycle and capital replacement needs to the client.
- Serve as the main contact for tenants and the client regarding security, access, maintenance, and general building-related queries; respond and resolve issues promptly.
- Coordinate tenant fit-outs, minor works, relocations, and oversee after-hours access requests.
- Maintain exemplary front-of-house and common area presentation, reflecting the prestige of the premises.
- Supervise cleaning and waste management, ensuring completion and standards are met.
- Manage contractor operations including induction, signing in/out, escorting, and supervising work within occupied areas.
- Support client review of third-party permit to work documents, risk assessments, method statements, and insurance for regulatory compliance under the Safety, Health and Welfare at Work Act 2005.
- Inspect and verify contractor work completion prior to sign-off, ensuring outstanding issues are closed out.
- Monitor contractor performance in line with service level agreements (SLAs), source quotations for reactive and remedial works for client approval.
- Investigate any accidents, incidents, or near misses, implement corrective measures, and assist in organizing bi-annual fire drills.
- Administer access control systems, tenant access levels, card programming, and contractor entry.
- Manage CCTV footage and data according to client policy and GDPR, keeping detailed records of requests and releases.
- Maintain intruder alarm systems, keys, fobs, and respond to any security incidents.
- Keep accurate, real-time records of maintenance, compliance, contractors, and security documentation using the client’s CMMS and Meridian systems, ensuring readiness for audits.
- Coordinate preventive and statutory maintenance schedules and asset registers, guaranteeing tasks are executed and closed within deadlines.
- Monitor energy and utility consumption, investigate discrepancies, implement waste reduction strategies, and support LEED Gold certification reporting.
- Provide weekly updates and comprehensive monthly client reports detailing site activity, key performance indicators, and outstanding issues.
Required Qualifications and Experience
- Demonstrated experience as a Building Manager, Facilities Manager, or Facilities Coordinator within multi-tenant or commercial office buildings.
- Solid understanding of building services including HVAC, electrical systems, water services, lifts, fire alarm systems, emergency lighting, and standby power.
- Proficient with BMS, access control, and CCTV systems as part of daily operations.
- Hands-on experience managing contractors, including permit to work systems and reviewing health and safety documentation.
- Knowledge of the Safety, Health and Welfare at Work Act 2005 and GDPR compliance specifically related to CCTV and access data management.
- High computer literacy with Microsoft 365 and electronic record keeping systems, ensuring accurate real-time documentation.
- Strong written communication skills for client reporting and comfortable engaging directly with tenants and contractors.
- Ability to work independently, prioritize multiple demands effectively, and maintain composure under pressure.
Desirable Attributes
- Experience using CMMS or CAFM platforms.
- Familiarity with LEED or BREEAM certification standards or managing buildings with high BER ratings.
- Background in energy, utility management, or ESG performance reporting.
- Relevant trade, technical, or facilities management qualifications such as electrical, mechanical, IWFM, or equivalent.
- Health and safety certification such as IOSH Managing Safely.
- Possession of a full, clean driving license.
Practical Considerations
- Physically capable of meeting the demands of the role including use of stairs, ladders, access equipment, and manual handling tasks.
- Access to all necessary areas including plant rooms, risers, roof spaces, and service zones.
- Availability for occasional emergency call-outs outside normal working hours.
- Willingness to provide satisfactory references and pass client-required vetting procedures.

- Timely response to and resolution of tenant and client requests.
