About the Role

Join the Venues and Events team at Selwyn District Council as a full-time Venues and Events Coordinator on a 12-month fixed term contract covering a parental leave secondment. Community halls and event centers serve as vital hubs in our towns, hosting a variety of recreational and community events for all ages as well as providing facilities for meetings, functions, major celebrations, and events.

In this role, you will be the primary welcoming host for customers, managing bookings, planning and delivering programmes and events, and undertaking operational tasks to maintain clean, tidy, and ready-to-use facilities. Additionally, you will support operations at other community halls and centers throughout the eastern areas of the Selwyn District. Your main base will be Rolleston Community Centre, with occasional work required at other district venues. The working hours are Monday to Friday from 8:30am to 5:00pm, with flexibility for weekend work.

Key Responsibilities

  • Handling customer inquiries and managing bookings.
  • Preparing venue spaces by setting up and packing down, including relocating heavy furniture.
  • Completing administrative duties such as invoicing, marketing, and communication.
  • Fostering positive relationships with customers and colleagues.

Candidate Profile

The ideal candidate will have prior experience in customer service, strong administrative capabilities, and the aptitude to build constructive relationships with a diverse customer base using Selwyn's community facilities. Understanding facility operational needs and event delivery experience are essential.

You will also be capable of effective time and workload management, quickly adopting new technologies, and possess experience with Microsoft Office. A confident, resilient team player with a positive outlook and sense of humor is required, along with a valid Full New Zealand Driving License for travel between sites.
