Job Summary
The Total Rewards Analyst is tasked with the precise and prompt execution of the organization's compensation and benefits programs covering all employees and Financial Advisors across the Group. This role integrates detailed analysis of reward data, administration of FA commissions and variable pay, management of benefit schemes, and ensuring compliance across multiple jurisdictions. The Analyst focuses strongly on data integrity and streamlining processes, reporting to the Total Rewards Supervisor and serving as the key executor within the payroll internal controls framework by preparing all compensation variation data, FA remuneration inputs, and payment files for supervisory validation and approval.
Primary Responsibilities
- Facilitate implementation of the Group Reward Strategy by converting approved salary adjustments, promotions, and pay structure changes into accurate payroll inputs across entities.
- Compile and verify all compensation variation data (salary changes, promotions, bonuses, benefit deductions) for each payroll cycle before submission.
- Perform salary benchmarking through market survey data and generate reports to support HRBP consultations and compensation decision-making.
- Oversee the annual performance-based pay system and conduct monthly payroll variance analysis.
- Analyze loan eligibility and manage the staff and FA loan portfolio, preparing monthly IFRS 17 reports for Finance.
- Administer FA commission and variable pay calculations, perform system audits, and handle subsidy, cashier bond, loan, and mortgage schemes for FAs.
- Maintain registers, process applications, calculate monthly deductions, and prepare payment files requiring supervisor approval.
- Generate monthly FA remuneration reports and act as main liaison for FA Operations and distribution network on compensation inquiries, escalating complex policy issues as needed.
- Manage all employee benefit schemes including medical insurance, group life, GPA/WIBA, pension, SACCO, and staff loans; handle enrolment changes, reconcile deductions, and coordinate with vendors.
- Conduct monthly reconciliations of benefit schemes ensuring accurate enrollment and matched deductions, reporting findings to the Supervisor.
- Handle outpatient account funding procurement processes and medical refund claims for contract staff and eligible FAs, ensuring appropriate approvals and submissions to Finance.
- Review the accuracy and completeness of key annual tax documentation distributions and resolve escalated tax queries needing policy interpretation.
- Support benefit awareness initiatives by preparing presentations and information for employees and FAs as directed.
- Oversee overall statutory compliance risk across all Group countries, covering PAYE, NSSF, NHIF/SHIF, HELB, Housing Levy, NITA, FBT, and withholding tax, with the Associate handling routine filings.
- Prepare monthly statutory payment schedules, review filings, track regulatory changes, and direct implementation of payroll or policy adjustments.
- Investigate complex tax verification and contribution queries requiring judgment and liaise with relevant authorities.
- Assist in monthly payroll processing by validating complex input data, uploading approved changes into payroll systems, and performing pre-payroll checks.
- Prepare and validate out-of-payroll payment files for supervisory approval.
- Support post-payroll activities, including general ledger reconciliation and reporting on payroll and rewards data.
- Maintain data accuracy in HRIS and perform monthly quality checks.
- Respond to ad hoc reward data requests promptly and ensure all payroll and reward documentation complies with records retention policies.
- Perform other duties as assigned.
Qualifications and Experience
- Bachelor's degree in Human Resources, Finance, Business Administration, or related disciplines.
- Professional certification in HR, Reward, or Finance such as IHRM, CIPD, CPA, or equivalent.
- Three to five years’ progressive experience in compensation and benefits, payroll administration, and reward analytics, preferably within multi-jurisdictional or shared services environments.
- Proficient experience with HRIS payroll and compensation modules coupled with advanced Excel skills for payroll modeling and variance analysis.
- Strong understanding of statutory compliance schemes including PAYE, NSSF, SHIF, and equivalents in the Group's operating countries.
- Experience with FA/agency remuneration structures is a desirable advantage.
