Role Overview
The Talent Acquisition Coordinator is responsible for supporting recruitment efforts by managing candidate communications, scheduling interviews, maintaining recruitment documents, and overseeing administrative activities throughout the hiring process. This role ensures a smooth, professional, and organized experience for candidates, hiring managers, recruiters, and other involved parties.
Primary Duties
- Coordinate and schedule interviews and meetings efficiently while communicating with candidates throughout the recruitment stages.
- Confirm interview details with candidates and maintain accurate recruitment calendars to ensure timely and organized hiring processes.
- Assist in preparing recruitment materials, posting job ads, updating applicant records, and managing candidate information in applicant tracking systems.
- Review applications based on defined criteria and support recruiters in managing candidate coordination tasks.
- Maintain precise recruitment documentation, update applicant statuses, and handle background and reference check procedures, as well as offer documentation and onboarding handovers.
- Compile recruitment reports, monitor hiring timelines, assist with recruitment campaigns, coordinate career events, and maintain talent databases.
- Support employer branding initiatives and help identify ways to optimize recruitment workflows and communication with candidates.
Required Qualifications
- Bachelor’s degree, diploma, or an equivalent qualification in Human Resources, Business Administration, Management, Psychology, Communications, or a related discipline.
- Proficient understanding of recruitment coordination, candidate management, interview scheduling, and general human resources administration.
- Experience using applicant tracking systems, recruitment platforms, HR software, and digital scheduling tools.
- Strong organizational abilities and time management skills to handle multiple candidates, interviews, tasks, and deadlines simultaneously.
- Excellent written and verbal communication skills exhibiting professionalism and candidate-centered communication.
- Capable of managing calendars, interviews, meetings, assessments, and recruitment-related interactions effectively.
- High attention to detail in maintaining candidate records, job postings, interview arrangements, and recruitment documentation.
- Knowledge of recruitment processes including screening, workflows, offer coordination, and onboarding procedures.
- Familiarity with platforms such as LinkedIn, various job boards, recruitment software, email systems, Microsoft Office, and Google Workspace.
- Ability to prepare comprehensive recruitment reports, candidate summaries, and scheduling documentation.
- Strong interpersonal communication skills to engage with candidates, hiring teams, and recruiters respectfully and confidentially.
- Commitment to protecting candidate and employee data, adhering to confidentiality and data protection standards.
- Effective prioritization and quick response to evolving recruitment demands.
- Problem-solving aptitude for resolving conflicts related to scheduling and recruitment coordination.
- Ability to work independently while maintaining collaborative relationships with HR and recruitment teams.
- A proactive and service-oriented attitude focused on enhancing candidate experience and recruitment efficiency.
- Eagerness to adopt new recruitment technologies, processes, and talent acquisition trends.
