Job description

Overview

The Receiving Clerk is tasked with managing all incoming goods, supplies, food, beverages, and materials delivered to the hotel. This role ensures the accuracy, quality, and compliance of items received against purchase orders, specifications, and hotel standards.

Key Responsibilities

  • Generate accurate invoices and process travel agent commissions promptly.
  • Maintain precise account records by posting charges and credits and reconciling ledgers with the general ledger.
  • Follow up on outstanding payments to ensure steady cash flow and reduce overdue bills.
  • Investigate and resolve any billing discrepancies by collaborating with relevant teams.
  • Prepare and dispatch daily account statements efficiently.
  • Review the previous day's transactions for correctness and contractual adherence.
  • Calculate monthly Days Sales Outstanding (DSO) and support credit reporting tasks.
  • Receive deliveries and confirm quantities, descriptions, and specifications against purchase orders.
  • Inspect all delivered merchandise for quality, damage, packaging integrity, expiration dates, and compliance.
  • Create and process receiving reports, ensuring accurate documentation in the system.
  • Verify matching and accuracy of invoices, delivery notes, purchase orders, and receiving paperwork.
  • Report any shortages, damages, discrepancies, or incorrect shipments to the relevant departments and suppliers promptly.
  • Coordinate with Purchasing, Stores, Finance, and operational teams concerning deliveries and issues.
  • Ensure proper labeling, documentation, and transfer of goods to storage areas.
  • Keep accurate records of all received items and maintain organized filing for audit purposes.
  • Adhere to hotel receiving protocols, food safety, hygiene, and health regulations.
  • Check perishable items for temperature, freshness, expiration, and storage requirements.
  • Maintain cleanliness and orderliness of the receiving zone.
  • Assist in periodic inventory counts and perform reconciliation as needed.
  • Support Purchasing and Finance in addressing invoice and receiving inconsistencies.
  • Carry out additional duties as assigned by management.

Qualifications and Skills

  • Must be a Saudi National.
  • Active membership in the Saudi Organization for Chartered and Professional Accountants (SOCPA) is required.
  • Possess a bachelor's degree or relevant qualification; degrees or diplomas in Accounting, Finance, Supply Chain, Procurement, or Hospitality preferred.
  • Prior experience in receiving, inventory, purchasing, accounting, or hotel operations is advantageous.
  • Proficiency with Microsoft Office, especially Excel.
  • Basic knowledge of purchase orders, invoices, delivery notes, and receiving procedures.
  • Excellent communication and organizational skills with high accuracy and attention to detail.
  • Ability to manage multiple priorities under pressure.
  • Capability to collaborate effectively with various departments and suppliers.
