Job description

Role Overview

The Purchasing Manager will oversee all procurement activities of the hotel, ensuring timely acquisition of goods and services that meet quality, price, and operational standards. This role involves managing suppliers, conducting market analysis, negotiating contracts, and coordinating with various departments to comply with budgetary and hotel policies.

Key Duties and Responsibilities

  • Manage all purchasing processes according to policies and budgets.
  • Ensure competitive sourcing and procurement aligned with hotel requirements.
  • Conduct ongoing market research and negotiate favorable terms with suppliers.
  • Process purchase requests and issue purchase orders adhering to approval procedures.
  • Work collaboratively with department heads to match purchasing with operational standards and timelines.
  • Maintain comprehensive purchasing records and use of the hotel’s Materials Management System.
  • Develop and sustain relationships with reputable suppliers, performing regular evaluations.
  • Ensure inventory control by monitoring stock levels, implementing cost-saving recommendations, and supporting proper product handling and rotation.
  • Coordinate financial oversight by tracking costs, collaborating with finance teams, and ensuring compliance with budgets.
  • Provide excellent service and communication to internal departments to meet operational needs.
  • Support recruitment, training, and development of purchasing team members, promoting professionalism and continuous improvement.
  • Maintain accurate administrative records, ensuring transparency and compliance for audits.
  • Participate actively in training, meetings, and uphold high standards of professional conduct.

Required Qualifications and Skills

  • Bachelor’s degree or diploma in Finance, Hospitality, Business Administration, Supply Chain, Procurement, or related disciplines preferred.
  • At least 2 years of procurement leadership experience, ideally within hospitality or large-scale operations.
  • In-depth understanding of purchasing procedures, inventory management, cost controls, and materials management systems like SCALA.
  • Strong negotiation, supplier sourcing, and contract management capabilities.
  • Analytical mindset with problem-solving, organizational, and interpersonal strengths.
  • Financial acumen to manage procurement within budgets.
  • Proficiency with Microsoft Office and purchasing/management software.
  • Fluent English communication; additional languages advantageous.
