Job description
Role Overview
The Programme Manager in the CEO Office collaborates closely with the Chief of Staff to translate strategic objectives into actionable operations throughout the organization. This position is responsible for managing governance meetings, maintaining rhythm of execution, tracking project progress, and synthesizing intelligence for leadership.
Core Responsibilities
- Organize and manage all governance forums led by the Chief of Staff, including monthly Operating Reviews, quarterly strategy alignment sessions, and impromptu briefings.
- Develop and maintain meeting agendas, disseminate preparatory materials, produce minutes, and track action items to ensure accountability.
- Drive structure and discipline across all forums to maximize effectiveness.
- Manage the Operating Calendar and coordinate recurring engagements with Country CEOs, Group Senior Leadership Team members, and their teams.
- Proactively alert stakeholders about upcoming decisions, briefings, and any lapses in meeting cadence.
- Uphold continuous momentum across all operational activities without requiring prompts.
- Maintain a comprehensive register of key strategic projects under Chief of Staff supervision, monitoring progress, risks, escalations, and interdependencies.
- Provide timely, decision-ready updates highlighting project status changes and potential risks to leadership.
- Convert diverse inputs from country teams, functional heads, and market intelligence into polished, executive-ready reports, board papers, and strategic summaries ensuring professionalism in tone, formatting, and content.
- Coordinate with Country CEOs and other C-suite direct offices on behalf of the Chief of Staff, including diary management, travel arrangements, and logistics through liaison with executive assistant networks.
- Safeguard that the Chief of Staff is consistently well-informed and prepared to avoid surprises.
- Maintain and enhance CEO Office tools such as registers, trackers, and governance documents, focusing on continuous improvements in templates, filing systems, and knowledge management.
Qualifications and Experience
- Bachelor’s degree in program management or a related field.
- At least six years of experience in program management roles.
- Proven track record in office coordination or governance within complex, multi-country environments.
- Previous experience in a CEO Office or senior executive support role is strongly preferred.
- Strong familiarity with governance frameworks, board reporting procedures, and multi-disciplinary project management.
