Order Management Executive - Warehouse Operations

Job Purpose

Manage the end-to-end order processing cycle starting from the receipt of customer orders through to final dispatch. Ensure precise order entries, verify stock availability, coordinate with production teams, plan dispatches, and guarantee timely deliveries. The ideal candidate will have previous experience as an ACP Warehouse In-Charge and strong knowledge of ACP products, stock handling, dispatch procedures, and collaboration with sales and production departments.

Key Responsibilities

• Receive and validate dealer and warehouse orders, checking all order details such as customer names, product specifications including colour, finish, thickness, size, quantity, and delivery destinations.
• Accurately enter and update orders using ERP, SAP, or other order management systems while confirming pricing, approved rates, credit standing, and other relevant order requirements before processing.
• Monitor all orders from confirmation through to dispatch and final delivery, maintaining an updated Order Status Tracker.
• Verify stock availability both physically and within the system for incoming orders, liaise with the warehouse team to cross-check ACP panel and coil stocks, and allocate stock against confirmed orders.
• Identify any stock shortages or surpluses, coordinate with purchase and production teams to address availability issues, and ensure reconciliation between physical and system stock records.
• Maintain comprehensive knowledge of ACP product types including PVDF ACP, FR ACP, A2 Fire Rated ACP, various thicknesses, sizes, colours, and finishes.
• Collaborate closely with production teams to manage pending or short-stock orders, communicate schedules and updates, prioritize orders based on customer commitment, and notify relevant teams about production delays or changes.
• Organize daily dispatch plans in coordination with warehouse and logistics teams, ensure dispatched quantity matches orders, and update sales and management on dispatch and delivery progress.
• Serve as the communication hub between Sales, Warehouse, Production, Accounts, and Logistics teams by providing timely status updates on stock, orders, production, dispatches, and expected delivery dates. Rapidly escalate order-related issues or delays.
• Maintain accurate documentation and records such as daily/weekly order status reports, pending orders, dispatch reports, order-to-dispatch timeline tracking, and stock requirements based on pending orders. Support management with relevant MIS related to orders and inventory.

Candidate Requirements

• Demonstrated knowledge of ACP warehouse operations and inventory management.
• Experience as an ACP Warehouse In-Charge is strongly preferred.
• Good understanding of ACP product specifications and varieties.
• Strong order processing and coordination capabilities.
• Proficiency in Excel functions including VLOOKUP, XLOOKUP, pivot tables, filtering, and sorting.
• Familiarity with ERP or SAP systems is desirable.
• Excellent communication and interpersonal skills, along with effective follow-up and problem-solving abilities.
• Meticulous attention to detail and capability to handle multiple orders simultaneously.
• Ability to work under pressure and assure dispatch deadlines are met.
• Educational qualification: Graduate or Diploma in Logistics, Supply Chain, Commerce, Operations, or related fields.
• Preferred candidate background includes previous ACP experience.
