Role Overview
The office in Tbilisi is seeking a proactive, exceptionally organized, and customer-focused professional to fill the Office Manager role. This position suits a detail-oriented, dependable individual who thrives in ensuring seamless daily office operations, administrative coordination, and support to executive leadership and the local team with utmost professionalism and confidentiality.
Primary Duties
- Manage office facilities, including infrastructure, housekeeping, logistics, and supply coordination, liaising with suppliers and service providers.
- Coordinate hardware, telephone, internet, and other infrastructure setups with the headquarters in Zurich and the local landlord.
- Supervise office access, organize meetings, events, and catering services.
- Continuously identify and implement enhancements to create a more comfortable, efficient, and welcoming work environment for staff and visitors.
- Plan and execute all local events for Tbilisi staff and visiting guests, covering ideation, logistics, coordination, and onsite support.
- Oversee relationships and contracts with vendors and suppliers, ensuring compliance with office policies.
- Administer invoice processing, payment submissions, procurement activities, and fixed asset maintenance.
- Monitor issuance and usage of company credit cards, including transaction reviews and documentation support.
- Support employee onboarding and offboarding workflows.
- Maintain and update insurance records, tracking expirations and renewals.
- Coordinate Health & Safety initiatives for the Tbilisi office and report to the shareholder company.
- Manage sustainability performance reporting and assist in data compilation for Tbilisi operations.
- Arrange travel logistics for international guests including flights, accommodation, meetings, and related events.
- Respond to inquiries from internal teams and external contacts.
- Provide mutual support within the Office Management team, covering for colleagues during absences.
- Offer temporary bookkeeping assistance during the accountant's absence, including handling expenses and bank transactions.
Candidate Profile and Skills
- Completed commercial education, academic degree in business administration, or an equivalent qualification supported by a minimum of three years of relevant experience in roles such as Office Manager, Executive Assistant, Personal Assistant, or Administrative Coordinator.
- Exceptional organizational, multitasking, and planning skills with a sharp eye for detail and a proactive attitude to identify and implement practical improvements.
- Ability to collaborate effectively across departments, cultures, and geographies within an international workplace setting.
- Maintains discretion and confidentiality when managing sensitive data, exercising sound judgment especially when assisting senior management.
- Strong communication and interpersonal abilities.
- Proficiency in Microsoft Office suite and fluency in both English and Georgian languages are mandatory.
- A genuine passion for Impact Investing.
