Ramesh Textiles India Pvt. Ltd. is a vertically integrated manufacturer of home textiles based in Indore, Madhya Pradesh. They specialize in exporting flannel bedding and other home textile products across more than 15 countries, including locations in Europe, the USA, and Australia.

Role Overview

As a Merchandiser, you will take full ownership of orders from the point of receiving the purchase order (PO) until the buyer confirms delivery. This role requires complete end-to-end accountability including sourcing trims, obtaining approvals, maintaining buyer communication, monitoring production schedules, and managing shipment documentation. It is not a coordination position that involves passively reminding others; this role demands proactive ownership of tasks and escalation with solutions when issues arise.

Key Responsibilities

  • Receive Proforma Invoices (PIs) from Sales and immediately highlight any concerns requiring buyer engagement.
  • Develop and execute plans for each order adhering to timelines for trims, approvals, production schedules, and delivery dates, with consistent portal updates.
  • Manage buyer approvals and place purchase orders for trims such as labels, threads, poly bags, cartons, and packing materials, negotiating pricing and lead times.
  • Handle all buyer communications professionally and in English, including order acknowledgments, approvals of strike-offs and samples, production updates, shipment notices, and status updates.
  • Monitor daily production closely, comparing targets to actual output; report delays over 10% immediately along with recovery plans.
  • Coordinate dispatch processes, verify labels and carton counts prior to shipment, and authorize shipments physically.
  • Submit accurate packing lists and related documentation to the dispatch team.
  • Maintain a comprehensive order tracker updated daily, encompassing all orders and statuses, available for spot verification by management at any time.
  • Send daily progress updates to the team detailing movements, risks, and decisions required.
  • Prepare and submit a succinct weekly order status report by 4 pm every Friday without reminders.

Performance Metrics

  • Achieve on-time shipment rates of at least 95% consistently.
  • Respond to buyer inquiries within 24 working hours.
  • Ensure zero production delays caused by trim shortages.
  • Flag buyer complaints to management immediately before the buyer raises them.
  • Keep the master order tracker fully current without exceptions.
  • Submit the weekly Friday report punctually without reminders.

Non-Negotiable Expectations

  • Always inform management of issues before the buyer learns about them, providing solutions alongside problems.
  • No verbal approvals or instructions are acceptable; all must be documented in writing, including WhatsApp messages.
  • Deliver bad news only paired with clear explanations and corrective actions.
  • Consistently provide the Friday report by the deadline; failure to do so will jeopardize the role.

Candidate Profile

  • Minimum of five years experience in export merchandising within home textiles or apparel, independently managing orders from PI through delivery.
  • Fluent English communication skills, both written and spoken, capable of clear and professional correspondence with international buyers.
  • Highly organized with systematic tracking methods rather than relying on memory.
  • Ability to remain calm and handle crises effectively, preserving strong buyer relationships.
  • Located in or willing to relocate to Indore for a full-time, on-site position.
