About the Role

The Junior Payroll Clerk is responsible for assisting in the precise, timely, and compliant management of payroll and benefits for all employees and associated entities of the 'Namǥis First Nation, located in Alert Bay, BC. Reporting directly to the Comptroller and collaborating with the Payroll Clerk, this role involves bi-weekly payroll processing, maintaining payroll documentation, and ensuring all statutory reporting obligations are fulfilled. The position also supports benefits onboarding, the administration of pension and extended health plans, and the submission of necessary paperwork to government bodies and WorkSafeBC.

Key Responsibilities

  • Execute bi-weekly payroll processing accurately.
  • Ensure compliance with all statutory reporting and payment requirements, such as taxes, Employment Insurance (EI), Canada Pension Plan (CPP), WorkSafeBC, and Indigenous Services Canada (ISC).
  • Prepare Records of Employment when necessary.
  • Complete monthly reconciliations of payroll-related general ledger accounts.
  • Guide new hires through benefits orientation and ensure proper completion and submission of relevant documentation.
  • Communicate updates or changes related to employee benefits.
  • Maintain records and reporting associated with staff pension and extended benefit programs.
  • Manage workplace injury reporting and submit required forms to WorkSafeBC.
  • Handle remittances and reporting to WorkSafeBC.
  • Administer petty cash disbursements in alignment with policy.
  • Oversee the submission of annual Pension returns, WorkSafeBC filings, Employee Health Reports, and other compliance reports related to payroll.
  • Process staff claims and maintain related documentation.

Skills and Experience

  • Initial experience in payroll or accounting activities, including exposure to bi-weekly payroll processing, benefits management, accounts payable/receivable, or general ledger reconciliation.
  • Proven capability to collaborate effectively within a finance team to meet shared deadlines, monthly reporting deadlines, and handle multiple priorities.
  • Keen attention to detail and accuracy with strong organizational skills for maintaining orderly records, account reconciliation, and upholding internal controls over payroll and financial processes.
  • Familiarity with statutory payroll regulations including EI, CPP, tax obligations, WorkSafeBC, and governmental reporting requirements.
  • Competence in preparing and managing documentation for benefits, pension, and extended health plans, including onboarding, updates, and annual filings.
  • Strong communication skills and the ability to interact professionally with employees, vendors, community members, and external agencies.
  • Excellent organizational and time management capabilities to handle multiple concurrent tasks and meet bi-weekly payroll and monthly reconciliation deadlines.
  • Proficiency with Microsoft Excel and Word for spreadsheet management, data entry, and basic analysis; aptitude and willingness to learn payroll software and financial systems such as Adagio.
  • Demonstrated integrity, confidentiality, and sound judgment in dealing with sensitive payroll and personnel data.
  • Capacity to work independently with minimal supervision, showing initiative, dependability, and a commitment to growth in payroll and accounting functions.

Education Requirements

  • Bachelor's degree in Business Administration, Accounting, Finance, or a related discipline (completed or in progress).
  • Additional certifications or diplomas in Payroll, Human Resources, or Accounting (e.g., PCP, payroll administration, bookkeeping) are advantageous.
  • Further training in financial software, payroll platforms, or benefits administration is a plus.
  • Commitment to ongoing professional development in payroll, accounting, and finance.

  • Salary ranges from $27.83 to $32.47 per hour, based on experience, classified as Level 13.
