Job Purpose
The Facilities Specialist will oversee the daily management and maintenance of workplace facilities, ensuring a safe, efficient, and well-functioning office environment that promotes employee productivity.
Key Responsibilities
- Oversee daily operations and upkeep of office facilities, including coordinating repairs, renovations, and improvements.
- Perform routine inspections of office spaces, equipment, and communal areas, maintaining all furniture and fixtures in proper condition.
- Manage relationships with landlords, building management, contractors, and suppliers to ensure service quality and compliance with safety standards.
- Arrange procurement processes by obtaining quotations for facility services and supplies.
- Support workplace safety by organizing fire safety checks, emergency preparedness drills, and maintaining all required permits and certifications.
- Identify potential risks in the workplace and suggest corrective measures.
- Manage meeting rooms and common areas, promptly handle employee facility requests, and assist with company events and workplace activities.
- Support budgeting by helping prepare and monitor facilities-related expenses, maintaining records of contracts and assets, and finding ways to improve operational efficiency and reduce costs.
Requirements
- A diploma or degree in Facilities Management, Building Management, Business Administration, or a related field.
- Approximately five years of experience in facilities, workplace, office, or property management.
- Proven ability to manage vendors, contractors, and building management successfully.
- Strong knowledge of workplace safety and facilities management best practices.
- Capability to manage several tasks simultaneously and work independently.
