Role Summary

This role as Documentation Executive involves handling precise and prompt processing of export documents such as Bills of Lading, shipping instructions, invoices, and manifests. The incumbent will coordinate with clients, agents, and internal teams to resolve any queries ensuring streamlined export operations.

Key Responsibilities

  • Manage vessel voyages, routes, and client details using the JBM system.
  • Prepare and process export Bills of Lading, invoices, and freight tax reports accurately.
  • Coordinate shipping instructions, including amendments, with shippers, agents, and GCC.
  • Handle issuance of Original Bills of Lading (OBL), Sea Waybills (SWB), telex releases, and switch BL requests, keeping thorough logs.
  • Download and distribute cargo and freight manifests as required.
  • Address customer inquiries regarding export documents, invoices, and Electronic Fiscal Device (EFD) requirements.
  • Prepare proforma invoices and vessel certificates when needed.
  • Assist with export file reconciliations and monitor outstanding invoices post-vessel sailing.

Candidate Requirements

  • Experience in shipping or freight forwarding is preferred.
  • Must be authorized to work in Tanzania.
  • Proficient in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.
  • Strong oral and written communication skills with professionalism and interpersonal effectiveness.
  • Self-motivated, well-organized, and capable of independent learning.
  • Good proficiency in spoken and written English.
