Role Overview
The Document Controller is tasked with managing the project Document Management System and the Digital Field Tool. They implement the Information Management strategy, train, and assist project teams and end users. This role ensures all project documents are properly received, classified, verified, and distributed, adhering strictly to the company’s Digital Project Delivery procedures and standards including ISO 19650, BS 1192, and PAS 1192.
Responsibilities
- Validate, organize, and manage all incoming and outgoing project documents, ensuring their receipt, classification, accuracy, registration, and availability.
- Maintain central site files, including uncontrolled drawings, registers, and collect Operation & Maintenance, Health & Safety, Quality, Environmental, and BCAR documentation.
- Set up and control change management workflows within the Common Data Environment (CDE).
- Prepare distribution matrices, status reports, and workflows for sample submissions, Technical Queries (TQs), Requests for Information (RFIs), and ensure compliance with project requirements.
- Participate in project meetings to communicate documentation and information management matters with project teams and stakeholders.
- Identify areas to improve document management processes, minimize waste, and manage risks related to information workflows.
- Provide coverage for other Document Controllers during absences.
- Support the Information Systems Manager in ensuring compliance with company-wide Digital Project Delivery policies and standards.
- Conduct training for new users on digital field tools such as VFP and FV individually or in groups.
- Serve as the primary contact for supporting and mentoring project users including client teams, designers, subcontractors, and suppliers.
- Assist in defining project file naming protocols and workflows under guidance from the Information Systems Manager.
- Continuously guide and enforce strict adherence to Digital Project Delivery protocols among project teams.
Experience and Qualifications
- Demonstrated experience managing large volumes of data and information from diverse sources within projects.
- Strong communication skills to educate various stakeholders on Digital Project Delivery protocols.
- Experience working with multidisciplinary design teams, clients, subcontractors, and supply chain partners.
- A willingness and capability to train and mentor others effectively.
- Knowledge of file naming conventions and document management standards.
- Excellent organizational skills including task prioritization, multitasking, and time management.
- Analytical mindset, self-motivated, and detail-oriented in document preparation and troubleshooting.
- Familiarity with project delivery processes and administration, particularly in construction and infrastructure, is advantageous.
- Proficiency with Microsoft Office suite at an advanced user level.
- Understanding of ISO 19650, BS 1192, and PAS 1192 standards governing information and document management.
- Experience with configuring and managing systems compliant with ISO 19650 is preferred.
- Familiarity with digital field tools such as Field View or Dalux is desirable.
