Role Overview
The Document Controller will oversee the project Document Management System and Digital Field Tools, execute the Information Management strategy, and offer training and support to project teams and users. This role ensures all project documentation is properly received, classified, verified, and disseminated according to Digital Project Delivery procedures and international standards such as ISO 19650, BS 1192, and PAS 1192.
Key Responsibilities
- Validate and manage incoming and outgoing project documentation ensuring accurate registration and retrieval.
- Maintain central files including site records, uncontrolled drawings, registers, and related operational, safety, quality, environmental documentation.
- Implement and manage CDE change control processes.
- Prepare distribution matrices, status reports, and workflows for submissions, queries, and reports adhering to project protocols.
- Participate in project meetings to collaborate with stakeholders on documentation and information management.
- Identify process improvements to reduce waste and mitigate risks in document workflows.
- Provide coverage for other Document Controllers when needed.
- Support compliance with company-wide digital document delivery procedures and standards.
- Conduct training sessions for new users of key digital platforms such as VFP and FV.
- Serve as primary contact for project user support across client teams, subcontractors, and supply chains.
- Assist in developing standardized file naming conventions and workflows in partnership with the Information Systems Manager.
- Continuously guide teams to ensure strict adherence to digital project delivery protocols.
Required Qualifications and Skills
- Experience handling large volumes of multi-source project data and documentation.
- Strong communication skills to instruct and educate diverse project stakeholders on digital delivery standards.
- Proven capability collaborating with multidisciplinary teams including clients, designers, subcontractors, and suppliers.
- Demonstrable ability and enthusiasm for mentoring and training others.
- Expertise in file naming conventions and document standards.
- Excellent organizational, prioritization, multitasking, and time management abilities.
- Analytical mindset combined with high diligence and self-motivation.
- Advanced proficiency in Microsoft Office suite.
- Strong document preparation, formatting, and troubleshooting capabilities.
- Understanding of ISO 19650, BS 1192, and PAS 1192 standards.
Desired Attributes
- Interest in project delivery processes and the wider construction industry, especially infrastructure projects.
- Experience configuring and managing digital systems in compliance with ISO 19650.
- Advanced user of digital field tools such as Field View, Dalux or similar.
