Job Summary
The role of the Document Control Specialist focuses on aiding the preparation and submission of tenders, managing project documentation, assisting with project planning, and offering administrative support to project teams. This position ensures accurate organization, control, and maintenance of all documentation related to tenders and projects.
Key Responsibilities
- Identify and monitor tender opportunities from clients and public procurement platforms.
- Download, organize, and analyze tender documents and requirements carefully.
- Coordinate the assembling and preparation of tender submissions effectively.
- Collaborate with departments such as Engineering, Procurement, Finance, and HSE to gather necessary documents for bids.
- Verify the accuracy of all tender documents and guarantee submission within defined deadlines.
- Maintain a detailed register tracking all tenders submitted along with their results.
- Prepare comprehensive technical and commercial proposal documents.
- Create and uphold an orderly document control system for project and tender materials.
- Ensure appropriate filing, archiving, and retrieval practices for project and company documentation.
- Keep updated document registers, logs, and tracking systems.
- Manage document version controls and proper numbering conventions.
- Distribute relevant documents to appropriate personnel and departments.
- Safeguard the confidentiality and security of all sensitive company documents.
- Assist in formulation of project plans, schedules, and work programs alongside project managers and engineers.
- Monitor project timelines and key milestones to ensure alignment with schedules.
- Maintain and update planning documents including work schedules, resource allocations, and project trackers.
- Facilitate coordination across project teams to keep activities in sync with the overall project plan.
Candidate Requirements
- A minimum of five years’ professional experience in a relevant role.
- Possession of a Bachelor of Science degree or an equivalent qualification.
