Crew Planning & Scheduling Coordinator

Role Overview

The Crew Planning & Scheduling Coordinator is responsible for managing the daily operations of the Roster Helpdesk, ensuring prompt handling of queries and coordination with crew scheduling and control teams. This role requires adherence to internal guidelines and regulatory standards, meticulous reporting, and maintaining crew compliance with operational limitations.

Key Responsibilities

• Oversee day-to-day Helpdesk functions by tracking incoming inquiries, documenting issues, and directing tickets to the correct departments or personnel.
• Ensure resolution and closure of all helpdesk tickets within a strict 24-hour timeline, compliant with internal service agreements.
• Proactively monitor pending tickets and escalate urgent or complex matters to management when needed.
• Support Crew Scheduling and Crew Control teams as operational needs arise.
• Implement decisions based on internal work instructions, CATS, CARS, and the company’s Operations Manual.
• Coordinate with stakeholders to maintain effective communication during operational disruptions.
• Generate and submit detailed reports daily, monthly, and annually on ticket resolutions, helpdesk activity, and operational issues.
• Keep accurate records of roster changes caused by other department actions to ensure audit and compliance readiness.
• Extract and analyze operational data, presenting insights visually using graphs and dashboards.
• Conduct daily system and process checks thoroughly and punctually to guarantee operational preparedness.
• Monitor crew adherence to rest, duty, and flight time requirements according to regulatory and company policies.
• Perform additional duties assigned by management to enhance the efficiency and continual improvement of the Crew Planning and Scheduling function.

Required Qualifications and Experience

• Completion of Grade 12 or an equivalent qualification is mandatory.
• A Diploma or Degree in Logistics, Operations Management, or related disciplines is preferable.
• At least 3 years of experience in Crew Scheduling or Training Planning is required.
• Familiarity with CATS/CARS and SACAA Regulations is essential.
• Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
• Strong report writing and data analysis capabilities.
• Excellent oral communication skills and professional telephone etiquette.
• Willingness and ability to work outside standard hours when necessary.
