Role Overview
We seek a capable Class Scheduler to oversee the daily coordination of class schedules for students and academic staff at our centre. This role requires on-site presence and weekend availability. Responsibilities include managing classroom and staff allocation, maintaining and updating scheduling records, confirming arrangements with teaching personnel, and resolving schedule conflicts promptly. The Scheduler will work closely with diverse stakeholders to facilitate smooth learning and training operations. Additionally, the position involves basic administrative duties such as handling timetables, attendance tracking, and communication with course consultants and teachers.
Responsibilities
- Assist with course scheduling and class coordination.
- Provide timely and accurate updates to academic and management teams.
- Perform basic administrative tasks as required.
- Maintain a clean and orderly centre environment.
- Manage internal and external communications through messaging platforms, email, and calls.
- Support student stay-back sessions.
- Help with preparation of teaching materials when needed.
Requirements
- Willingness to work on weekends (mandatory due to tuition centre schedule).
- Minimum educational qualification: O/A level, Polytechnic diploma, or equivalent.
- Ability to communicate fluently in Chinese (Mandarin) to engage with mainly Chinese-speaking parents.
- Proficient in Microsoft Word, PowerPoint, and Excel.
- Highly responsible, proactive with a positive attitude.
- Good interpersonal and communication skills.
- Independent and collaborative team player with proven organizational and time management capabilities; prior experience preferred.
- Detail-oriented with strong administrative skills and follow-through ability.
- Availability for communication outside regular working hours.
Work Schedule
- Monday to Friday: 11:00 AM to 8:30 PM (includes lunch and dinner breaks).
- Saturday and Sunday: 9:30 AM to 6:30 PM (includes lunch break).
- Weekly total of 44 working hours.
- Weekly 1.5 days off (with face-to-face discussions).
- Public holidays are off.
