Job Overview
The role is focused on providing efficient coordination for pre-surgical activities to enhance patient satisfaction by minimizing pre-operative inefficiencies and related financial costs.
Primary Responsibilities
- Manage and coordinate procedure scheduling by using OR module software to assign time slots considering procedure type, length, and resource availability.
- Prioritize urgent surgical cases to improve patient and resource flow.
- Proactively handle scheduling conflicts and operational challenges.
- Regularly review and refine scheduling procedures based on feedback, data analysis, evolving service demands, and physician input.
- Prepare comprehensive daily surgical lists for concerned teams.
- Allocate dedicated time slots for various surgeries and specialties to ensure predictability.
- Adjust schedules dynamically in response to emergencies or patient needs without disrupting planned surgeries.
- Monitor and analyze slot usage and procedure durations to identify patterns and improvement opportunities.
- Confirm that all necessary equipment, staff, and facilities are ready for scheduled surgeries, ensuring smooth transitions from operating room to recovery.
- Develop strategies for overbooking to offset no-shows and additional cases.
- Maintain precise documentation of scheduled procedures, patient details, and resource assignments.
- Ensure adherence to safety protocols and regulatory standards related to scheduling.
- Generate detailed reports on scheduling efficiency, resource use, and patient outcomes.
- Identify inefficiencies and propose solutions to boost operational productivity.
- Collaborate with multidisciplinary teams on quality improvement projects aimed at workflow optimization and enhancing satisfaction for patients and staff.
- Stay updated on best practices in surgical scheduling and implement applicable strategies.
- Support accreditation maintenance and participate in audit processes as needed.
- Foster effective communication among surgeons, nurses, radiology, outpatient services, administration, and case managers to coordinate smooth workflow and prioritize patient care.
- Maintain a proactive, positive approach to overcoming challenges.

Qualifications & Experience
- Minimum two years clinical nursing experience in a complex tertiary center for BSN graduates; three years for Diploma holders.
- Diploma in Nursing required; Bachelor's degree in Nursing preferred.
- Licenses valid for practice in country of origin and regional health authority (e.g., SCFHS, DHA).
- BLS, ACLS, and other life support training courses as applicable.
Skills and Abilities
- Effective under pressure with strong teamwork capabilities.
- Familiarity with performance improvement processes and international standards.
- Proficient in computer applications including MS Excel, MS Word, and MS Outlook.
- Strong analytical and problem-solving aptitude.
- Good interpersonal communication and customer service skills.
- Accurate and diligent record-keeping.
Language
Excellent command of English is required; proficiency in Arabic is advantageous.
