Job description
Overview
Mainline is looking for a meticulous and proactive Bid Contracts Administrator to join their team, supporting growth in Power, Water, and Civil Infrastructure sectors. This permanent full-time position offers a hybrid work setting across office, home, and site locations in Cork, Ireland, with competitive salary and a standard 40-hour workweek.
Key Duties
- Prepare and submit pre-qualification questionnaires (PQQs), tenders, bids, and framework proposals.
- Maintain updated bid libraries, capability statements, case studies, CVs, and other essential bidding documents.
- Assist sales and marketing teams with creating presentations, brochures, and customer-facing materials.
- Manage administration of framework contracts and maintain contract registers accurately.
- Support management by preparing client reports and reviewing framework contract performance documentation.
- Oversee document control ensuring compliance with company procedures for record keeping.
- Engage in business development efforts, customer interaction activities, and industry events coordination.
- Assist with drafting board presentations, management reports, and strategic business documents as needed.
Qualifications and Experience
- Hold a third-level qualification in Business, Law, Commercial Management, Marketing, Construction Management or related fields.
- Experience in administrative roles involving contracts, bid coordination, or commercial support.
- Proficient with Microsoft Office suite, especially Word, Excel, and PowerPoint, complemented by comfort with AI tools.
- Exceptional attention to detail and capability to juggle multiple deadlines effectively.
- Strong organizational skills and expertise in document management.
- Beneficial to have experience in tender submissions, framework contract support, and familiarity with construction, utilities, infrastructure, or engineering sectors.
- Knowledge of contractual law, contract administration, or claims management considered an asset.
