Job Overview
The Assistant Manager - Leasing is accountable for managing the complete leasing lifecycle for residential or commercial properties. This involves marketing units available for lease, conducting property viewings, screening tenants, preparing lease contracts, and providing ongoing tenant support. Serving as the primary contact for tenant interactions, the role is pivotal in meeting occupancy goals and ensuring tenant satisfaction.
Key Responsibilities
- Meet the annual leasing targets as budgeted.
- Advertise and lease properties to suitable tenants to ensure high occupancy.
- Organize property tours and emphasize features and amenities.
- Respond to tenant inquiries via phone, email, and face-to-face, adhering to service level agreements.
- Screen prospective tenants based on criteria such as income, credit standing, and references.
- Support tenants throughout the leasing process from application to move-in.
- Prepare, review, and clearly explain lease agreements and associated documents.
- Manage lease renewals as well as expirations and terminations.
- Foster strong tenant relationships by addressing queries and issues quickly and professionally.
- Maintain accurate and up-to-date inventories of available units, including pricing and availability data.
- Ensure accurate processing and filing of all documentation including Tawtheeq/Ejari, applications, leases, ID copies, and deposit records.
- Keep tenant databases and lease tracking systems current and accurate.
- Provide frequent reports summarizing leasing activities such as inquiries, viewings, lease signings, and renewals.
- Comply with regulatory requirements and internal company policies throughout all leasing operations.
- Collaborate with Building and Facilities Management teams to prepare units for viewings and occupancy.
- Report maintenance issues or property conditions needing attention to Facilities Management.
- Coordinate with Finance concerning security deposits, rent collection, and following up on overdue payments.
- Work closely with other departments like Contact Center, Customer Experience, Sales, Marketing, and Operations to support tenants and improve processes.
- Provide market intelligence and suggest rental price changes and property enhancements.
- Stay informed about real estate market trends, competitor offerings, and local rental laws.
- Identify strategies to improve tenant retention and minimize vacancies.
- Engage in cross-departmental projects as required by management.
- Handle additional duties assigned by the Line Manager.
Qualifications and Experience
- Possess a Bachelor’s degree or diploma; degrees in Real Estate, Business, Marketing, or related fields preferred.
- Have at least 2 years’ experience in real estate leasing, property management, or sales.
