Job description
Role Overview
We are looking for a highly competent and dependable Operations & Business Administrator to oversee and streamline three critical domains: Finance/Accounts, Human Resources, and Front Office/Administration within our organization located in Bengaluru, Karnataka. This full-time role demands a candidate with strong multitasking abilities, meticulous attention to detail, and excellent communication skills. Immediate joining is preferred.
Key Responsibilities
- Finance & Accounts Management: Maintain precise daily bookkeeping using Tally software, including ledger entries, bank reconciliations, and vouchers. Manage petty cash, vendor payments, client billing, and collections efficiently. Coordinate statutory compliance such as GST, Income Tax (TDS), Professional Tax, and liaise with external Chartered Accountants for timely filings. Prepare detailed financial reports including weekly and monthly cash flow statements, income and expenditure summaries, and budget tracking for management review.
- Human Resources Duties: Lead recruitment processes by sourcing candidates, conducting initial interviews, determining suitable compensation, and issuing employment documentation. Oversee attendance tracking, leave management, and provide accurate data for payroll processing. Monitor employee performance, maintain comprehensive personnel records, and enforce company policies. Manage the offboarding process including resignation handling, exit interviews, clearance formalities, and issuance of relief and experience certificates.
- Front Office and Administrative Coordination: Serve as the primary point of contact for visitors, phone calls, emails, and courier deliveries. Supervise housekeeping, manage office supplies inventory, and ensure all office infrastructure such as air conditioning, internet, printers, and furniture are functioning. Coordinate with external providers including landlords, utility companies, IT support, and vendors to ensure seamless office operations. Facilitate company meetings, maintain organized filing systems both digital and physical, and assist leadership with various administrative tasks.
Required Skills and Attributes
- Excellent multitasking and prioritization skills to juggle financial deadlines alongside HR and administrative responsibilities.
- High degree of discretion and confidentiality when handling sensitive financial and employee data.
- Strong interpersonal and communication capabilities for professional liaison with clients, vendors, candidates, and internal staff.
- Proactive problem-solving aptitude with an ownership mentality to swiftly address operational challenges and breakdowns.
Qualifications and Experience
- Bachelor's degree in Commerce (B.Com), Business Administration (BBA), or closely related fields.
- 3 to 6 years of relevant experience in multi-functional roles encompassing office management, accounting, and administration.
- Proficiency in Tally ERP 9 or Tally Prime for accounting purposes.
- Strong command over MS Office (Excel, Word, PowerPoint) and Google Suite applications.
- Familiarity with statutory portals for GST, Income Tax, and Professional Tax compliance.
- Basic understanding of Indian labor laws, tax regulations including TDS and GST procedures.
Additional Information
Location: Office based in Hebbal/Yelahanka areas of Bengaluru.
Salary: Negotiable and open for discussion.
