Job description
Position Overview
We are seeking a diligent Accounts & Admin Executive to join our team in Kampala on a full-time, permanent basis. This role involves managing daily accounting and administrative tasks, including invoicing, payments, receipts, expense documentation, and maintaining accurate records primarily using Excel and accounting software.
Key Responsibilities
- Maintain daily accounting records and supporting documentation.
- Record and manage sales, purchases, receipts, payments, and expenses accurately.
- Prepare and organize invoices, bills, receipts, and payment documentation.
- Maintain records for accounts payable and receivable, and ensure follow-up on outstanding customer payments.
- Verify supplier bills along with necessary supporting paperwork.
- Keep updated account records for both customers and suppliers.
- Conduct basic reconciliations of bank, cash, and ledger accounts.
- Identify and rectify fundamental discrepancies in accounting entries.
- Prepare and maintain daily and monthly accounting records through Excel and accounting software.
- Generate basic reports including sales, expenses, collections, and payments.
- Review and process employee travel and expense claims.
- Organize and file all invoices, receipts, vouchers, and accounting documents properly.
- Assist management or accounting teams with routine financial tasks.
- Maintain comprehensive office records, files, and documents.
- Manage routine email communications and correspondence.
- Draft basic documents, reports, and spreadsheets using Excel.
- Coordinate with sales and other departments regarding billing, invoices, expenses, and necessary details.
- Provide support to the Branch Manager and management for accounting and administrative operations.
- Assist with general office administration and coordinate day-to-day activities effectively.
Qualifications and Experience
- Graduate degree in Commerce, Accounting, Finance, Business Administration, or a related discipline.
- Possess 3 to 4+ years of experience in fundamental accounting, accounts administration, or equivalent roles.
- Practical understanding of sales and purchase entries, invoice processing, receipt and payment tracking, expense recording, accounts payable and receivable, bank reconciliation, and ledger maintenance.
- Proficient with MS Excel and MS Word.
- Experience with accounting software such as Tally, Zoho Books, or QuickBooks is advantageous.
- Strong numerical aptitude coupled with excellent organizational skills.
- Exceptional attention to detail and accuracy in work.
- Effective communication skills and the ability to follow up appropriately.
- Capable of maintaining records and completing routine accounting duties in a timely manner.
- Attributes of honesty, responsibility, organization, and eagerness to learn are essential.
Ideal Candidate Profile

Minimum education
Bachelor's Degree
