Role overview
This position supports REI’s Stores leadership team at the Vice President and Divisional Vice President levels by delivering high-level administrative and operational assistance. The role helps senior leaders stay focused on strategic priorities by taking on day-to-day coordination, communication, and follow-through tasks.
This is a hybrid position. You must live within 150 miles of the Seattle area so you can travel periodically to the Issaquah office and to other off-site locations when business needs require it.
Key responsibilities
- Act as the main contact for both internal teams and outside partners on behalf of supported leaders.
- Prepare and refine business communications such as emails, memos, reports, and presentations so they match the leader’s style and voice.
- Help execute internal and divisional communication plans so enterprise updates are shared clearly and effectively.
- Coordinate meeting, event, off-site, and engagement logistics, including materials and related planning.
- Attend important meetings with leaders, capture accurate notes, and circulate follow-up items and action points.
- Organize leaders for meetings by assembling materials and confirming deliverables are progressing as expected.
- Provide support across the division, including event coordination, stewardship activities, Signature Award program support, and resource administration such as org charts, email lists, and SharePoint maintenance.
- Track milestones, deliverables, and follow-ups for strategic initiatives and special projects.
- Research topics and analyze data to help inform leadership decisions and reporting needs.
- Handle financial tasks such as expense tracking, invoice processing, cost center reconciliation, and forecasting.
- Work with HR business partners to support HR-led activities including headcount tracking, talent reviews, and performance review cycles.
- Identify opportunities to improve processes and create greater efficiency within the department and division.
- Manage complex calendars for assigned leaders, including scheduling meetings, appointments, and resolving conflicts proactively.
- Arrange travel end-to-end, including itineraries, transportation, lodging, and related expense reporting.
- Treat sensitive and confidential information with a high level of discretion.
- Represent REI professionally when interacting with internal and external contacts on behalf of supported leaders.
Qualifications
- At least 5 years of administrative support experience, with prior exposure to supporting corporate senior management and/or executives.
- Strong organizational and time-management abilities, with proven multitasking capability.
- Consistently professional approach, with strong confidentiality and discretion when handling sensitive information.
- Ability to work on your own and juggle multiple priorities with limited supervision.
- Sharp attention to detail and the ability to complete work by set deadlines.
- Excellent people skills and the ability to build relationships across all levels of an organization.
- Advanced proficiency with Microsoft Office tools, including Outlook, Word, Excel, PowerPoint, and SharePoint.
- Experience using AI-enabled productivity tools, such as Microsoft 365 Copilot or similar, to improve speed, quality, and effectiveness.
- Capability to coordinate calendars, travel, and expenses for multiple leaders.
- Strong problem-solving, decision-making, and critical-thinking skills.
- Ability to work efficiently by setting priorities, planning effectively, and producing quality output.
- Strong execution skills, including meeting deadlines, using resources well, and keeping others informed on progress.
Compensation and benefits
REI provides a pay range of $64,600 to $103,500 per year for this role, depending on factors such as skills, experience, and location. Regular employees also receive a generous employee discount, health coverage options, a retirement savings plan, and accrued time off.
