Job description
Role Overview
This position supports project management teams by organizing, tracking, and protecting the flow of project records for the company, customers, and vendors. The focus is on handling proposal, project, and product-related drawings and documents accurately and within required timelines.
Key Duties
- Run Governance level 1-2 projects on an independent basis in line with the relevant standards and procedures.
- Take ownership of the Master Document List (MDL/MDR) covering all project-related records.
- Review project documentation to confirm that information is complete and correct.
- Support internal and external stakeholders in understanding project and contract documentation requirements.
- Maintain the filing structure in CS and route correspondence through the correct transmittal process.
- Collaborate with the project team to compile final project documentation and dossier packages.
- Track document progress against the schedule and follow up with clients, vendors, and internal teams to ensure on-time submission.
- Prepare project progress updates and memorandums.
- Participate in project review and status meetings.
- Train and assist project users on document control systems and tools.
- Help onboard and support new joiners and junior team members.
- Juggle several active projects in a fast-moving environment.
Qualifications
Candidates should hold an engineering diploma or a graduate-level qualification. A background of about 3 to 7 years in project document control within engineering, manufacturing, construction, or an oilfield service environment is preferred. Strong command of Word, Excel, PowerPoint, and similar tools is needed for analysis and reporting. Excellent spoken and written English is mandatory. The role also requires flexibility to work across different systems and procedures used in various projects, along with familiarity in MS Outlook and web-based applications.
Preferred Skills
Applicants should be able to manage document control independently with minimal supervision. Experience with Adobe Acrobat Pro and multiple EDMS platforms is preferred, along with training, mentoring, and presentation capabilities. The ability to handle several tasks simultaneously in a deadline-driven team setting is essential.
