About the Internship
This internship offers hands-on experience in managing tenders and operational compliance within a leading security systems integration company. The intern will track live tender listings across various government portals, analyze tender documents to identify binding conditions, manage pre-bid queries, and assemble compliance documentation ensuring timely submission. You will coordinate with OEMs, vendors, and government offices and maintain detailed records of bids and inventory. The role also involves HR administrative duties such as onboarding and attendance management. Early identification and communication of potential risks to leadership form a crucial part of the responsibilities.
Responsibilities
- Monitor active tenders on platforms like GeM, CPPP/eProcurement, NIC, and state portals, and maintain an organized record of tender statuses.
- Interpret tender documents to extract critical information such as eligibility criteria, financial thresholds, EMD requirements, submission formats, and timelines.
- Manage pre-bid query windows independently, raising clarifications and tracking amendments promptly.
- Prepare the compliance dossier systematically—gather registrations, certifications, financial documents, OEM authorization, affidavits, and statutory filings well before deadlines.
- Organize signature collection, attestations, and notarizations based on a self-managed schedule aligned with submission deadlines.
- Handle Earnest Money Deposit processes including instruments, amounts, payment modes, and timing.
- Engage with OEMs, distributors, and sub-vendors for quotations and authorization letters, keeping vendor data up to date.
- Maintain bid result logs documenting bidders, pricing, disqualifications, and rejection stages to improve future strategies.
- Manage document archives, tracking expiries and renewal schedules to ensure compliance continuity.
- Oversee inventory records including stock movements, project allocations, and conduct periodic physical verifications.
- Coordinate with government bodies for registrations, renewals, filings, and other statutory formalities.
- Assist HR in administrative tasks such as onboarding, personnel file maintenance, attendance tracking, leave management, and interview scheduling.
- Proactively identify and communicate potential risks impacting deadlines or compliance to leadership early.
Eligibility and Requirements
- The internship is open to recent graduates and final-year students from any discipline, with backgrounds in B.Com, BBA, BA, B.A.LL.B, MBA, or equivalent being welcomed.
- Availability for a full-time, in-office internship between September 3, 2026 and October 8, 2026, lasting 6 months.
- Relevant skills and interests related to operations and tender management.
- Experience or familiarity with government tender portals such as GeM, CPPP/eProcurement, NIC, or state portals is advantageous.
- Strong attention to detail with documents and dates, disciplined deadline management, and confidence in escalating issues early.
- Comfortable interacting with government officials, vendors, and senior stakeholders.
- High personal integrity given the handling of procurement, vendor details, inventory, and confidential HR records.
- Proficient written and spoken English for communication with diverse clients and partners.
