Role Overview
We are searching for an onsite Document Controller/Writer focused on HSE compliance to manage and coordinate the site’s document management system proactively. This role ensures that all controlled documents remain up-to-date, precise, accessible, and properly governed across their entire lifecycle.
Primary Responsibilities
- Oversee the entire lifecycle of controlled documentation, including creation, approval, review, editing, publication, archiving, and removal.
- Manage the site's document management system aligning with strict document-control standards and governance protocols.
- Develop a sustainable, risk-based operational framework for document management that evolves from reactive to proactive management.
- Support robust governance, compliance, and operational standards via effective document control procedures.
- Collaborate with various departments to create new documentation and Safe Work Instructions (SWIs) derived from risk assessments and detailed task analyses.
Candidate Requirements
- Proven experience in document control, records, or information management within regulated industries such as mining, resources, or construction.
- Familiarity with electronic document management systems (EDMS) encompassing workflows, version control, and approval frameworks.
- Proficient with Microsoft 365 tools, especially SharePoint, Word, Excel, and Teams.
- Comprehensive knowledge of document lifecycle management, governance, and records management principles pertaining to controlled documents.
- Experience in coordinating document reviews and engaging stakeholders to adhere to review and approval timelines.
- Skilled in generating reports, dashboards, and monitoring document compliance.
- Adept at authoring documents and SWIs in partnership with workgroups providing task descriptions and risk details.
