Role Purpose

The Mid to Senior Procurement Officer role based in Kapiri Mposhi focuses on overseeing procurement processes, inventory coordination, and compliance with procurement governance at the operational level. The position ensures steady supply of fleet spares, consumables, fuel-related items, and related operational materials vital to workshop and transport operations throughout Zambia and regional routes.

Key Responsibilities

  • Lead daily procurement tasks for Kapiri workshop and operational needs aligned with approved procurement policies and governance frameworks.
  • Source and coordinate the procurement of truck, trailer, workshop, tyre, fuel, and operational support items through authorized suppliers and purchase orders.
  • Adhere strictly to the "No PO No Purchase" policy ensuring proper documentation, approvals, and audit trails are maintained.
  • Monitor inventory levels and orchestrate replenishment plans to guarantee availability of critical spares and consumables supporting fleet maintenance and operations.
  • Manage emergency procurement activities and breakdown support while maintaining procurement discipline and cost control.
  • Collaborate with workshop, operations, and stores staff to plan and execute procurement needs effectively.
  • Ensure accurate processing and reconciliation of Goods Receipts (GRPOs), purchase orders, supplier invoices, and related documentation between SAP and operational systems.
  • Support and enforce data accuracy and integration between SAP and Fleet Maintenance Pro (FMP) systems for reliable inventory management.
  • Coordinate intercompany stock transfers among entities and workshops maintaining proper documentation and accountability.
  • Assist in supplier negotiation and performance evaluation; source alternative suppliers as needed.
  • Ensure compliance with corporate audit requirements and inventory governance standards.
  • Participate in stocktaking, inventory audits, variance investigations, and follow-up corrective actions.
  • Maintain detailed procurement files, supplier records, cost histories, and procurement tracking reports.
  • Contribute to procurement process enhancements, reporting frameworks, and internal controls.
  • Prepare procurement data analyses and reports for management as required.

Mandatory Qualifications and Experience

  • Diploma or Degree in Procurement & Supply Chain Management, Purchasing & Supply, Business Administration, Logistics, or related disciplines.
  • Minimum CIPS Level 4 qualification; progression towards CIPS Level 5 or MCIPS status is advantageous.
  • At least 5 years' experience in procurement, inventory, or stores management within transport, logistics, fleet, mining, or heavy vehicle sectors.
  • Comprehensive knowledge of truck and trailer spare parts, workshop supplies, tyres, and operational procurement.
  • Practical SAP experience (preferably SAP Business One) in procurement, inventory, and goods receipt processes.
  • Strong grasp of procurement governance, inventory control, stock accountability, and supplier management.
  • Meticulous administrative capabilities for maintaining accurate procurement and inventory documentation.
  • Ability to operate efficiently in fast-paced environments requiring urgent response to fleet maintenance demands.

Preferred Experience

  • Background in fleet maintenance or transportation workshop settings.
  • Familiarity with Chinese truck brands such as Sinotruk/Howo and Foton.
  • Experience managing emergency procurement and operational breakdown support.
  • Coordination of procurement across multiple sites or business units.
  • Knowledge of fuel procurement, tyre management, workshop operations, and fleet operational support.
  • Experience with Fleet Maintenance Pro (FMP) or comparable fleet maintenance software.

Skills and Competencies

  • Knowledge of stock movement tracking, procurement controls, and inventory management within transport and logistics.
  • Awareness of cross-border and regional operational procurement support is beneficial.
