Role Responsibilities
- Ensure project timelines and goals are achieved by supervising daily team output.
- Manage the retrieval of records as requested by users and arrange closed study transfers to clients.
- Maintain filing accuracy and adherence to customer or IQVIA file plans and relevant SOPs.
- Safeguard record integrity and maintain security within the records center in compliance with SOPs.
- Collaborate with multiple departments to support record retrieval initiatives and satisfy information requirements.
- Oversee closed study documentation preparation for client handover within established deadlines.
- Conduct training for team members on procedures, policies, and record management tasks.
- Act as the main client contact point for records-related communications.
- Coordinate records transfers, recalls, and dispositions to commercial storage locations.
- Manage disposal of outdated records and oversee upkeep of storage facilities, supplies, and equipment efficiency.
- Support management in executing strategic objectives, cost proposals, and resource planning related to records projects.
- Lead process management, staff training, and may act as a team leader for records management projects.
Educational and Professional Requirements
- Minimum educational qualification of High School Diploma or an equivalent credential.
- At least 3 years of experience within a records management environment or equivalent education and training combination.
- In-depth understanding of research and regulatory frameworks such as ICH, GCP, and applicable local laws and guidelines.
- Familiarity with technology tools relevant to records management settings.
- Strong analytical capabilities to identify issues, devise solutions, and make informed decisions.
- Proven ability to manage multiple projects, balance priorities, and meet deadlines.
- Attention to detail and capacity to maintain focus under pressure.
- Exceptional organizational, planning, and decision-making skills.
- Excellent communication skills, both oral and written, with proficient command of English.
- Ability to foster and sustain effective working relationships with both internal stakeholders and external clients.
- Leadership ability to guide and supervise others effectively.
- The role requires significant keyboarding and writing activity, involving repetitive finger motion and prolonged sitting periods.
