Role Overview
Under the supervision of the Accounting Supervisor, the Payroll Specialist will manage all payroll-related operations at Blue Bird. This key position requires safeguarding employees' Private Protected Information (PPI) and responding to payroll inquiries. Candidates must have thorough expertise in payroll systems paired with exceptional numerical skills and analytical reasoning. Precision and accuracy in data handling are critical.
Key Duties and Responsibilities
- Execute payroll processing accurately, covering salaries, wages, bonuses, commissions, deductions such as benefits and garnishments, and applicable taxes, preferably using UKG software.
- Ensure strict compliance with federal, state, and local payroll, wage, and hour regulations, performing regular audits and reconciliations to identify and rectify errors; support year-end processes and audits.
- Prepare payroll documentation and annual statements, for example, W-2 forms, in alignment with legal requirements.
- Support staff by offering clear responses to payroll-related questions and concerns.
- Identify and implement payroll process optimizations within the UKG platform and remain abreast of payroll regulation updates.
- Handle additional duties such as off-cycle payrolls and garnishment processing as needed.
Required Knowledge, Skills, and Abilities
- Expertise in Microsoft Excel, including advanced functionalities like VLOOKUP, pivot tables, and extensive data analysis.
- Comprehensive understanding of payroll legislation, tax obligations, and compliance protocols at all government levels.
- Strong analytical and problem-solving capability with a proactive approach to resolving payroll challenges.
- Excellent interpersonal and communication skills, both verbal and written, to engage professionally with employees and management.
- Meticulous organizational abilities and acute attention to detail to maintain accuracy under a fast-paced environment and meet deadlines.
- Proficient in UKG (Ultimate Kronos Group) payroll software is strongly preferred.
- Ability to maintain confidentiality and manage sensitive information responsibly.
Education and Experience Requirements
- Associate's degree in accounting, finance, or related field preferred.
- Alternatively, a minimum of five years' payroll experience with specific experience using UKG software is acceptable.
- High School Diploma or GED is mandatory.
- At least three years of prior payroll experience.
- Applicants must be U.S. citizens or permanent residents authorized to work in the United States and provide employment eligibility proof upon hire.
