Job Overview

We are seeking a proactive and detail-focused Transaction Coordinator specialized in short-term rental (STR) real estate to oversee complete transaction processes primarily sourced through Zillow and other online platforms. This role is essential to supporting smooth deal flow and ensuring transactions progress efficiently from contract initiation to closing.

Key Responsibilities

• Manage short-term rental real estate transactions from lead acquisition through to closing.
• Assist with drafting, reviewing, and handling purchase agreements and contractual documents.
• Track and manage leads generated by Zillow, ensuring prompt follow-up and support for conversion.
• Serve as the main communication link among co-brokers, buyers, sellers, and third-party vendors such as lenders, title companies, and inspectors.
• Schedule and oversee home inspections, appraisals, and other necessary due diligence activities.
• Ensure all documentation is accurate, complete, and submitted within required deadlines.
• Maintain organized transaction records and regularly update CRM systems.
• Monitor important deadlines, contingencies, and closing schedules to guarantee smooth transaction progress.

Requirements

• Demonstrated experience in real estate transaction coordination, preferably within short-term rentals.
• Strong grasp of contracts, real estate paperwork, and closing procedures.
• Familiarity with Zillow or comparable online lead generation platforms.
• Excellent communication skills capable of managing various stakeholders simultaneously.
• High attention to detail paired with superior organizational capabilities.
• Able to perform effectively in a fast-paced environment subject to strict deadlines.

Preferred Qualifications

• Background in STR real estate markets such as Airbnb.
• Experience with CRM software and transaction management platforms.
• Knowledgeable about U.S. real estate processes and terminology.
