Position Overview

The US Payroll Professional supports critical business functions connecting Business Operations, People Experience (PX), Benefits, and Accounting teams to handle comprehensive multi-state US payroll activities. This role splits focus evenly between timekeeping and payroll processing, working US shift hours. It ensures employees receive timely and accurate compensation while adhering to SOX compliance requirements.

Key Responsibilities

  • Oversee bi-weekly payroll processes across multiple legal entities ensuring accuracy and timely execution of all data transactions.
  • Act as an expert in multi-state tax issues including W-2/W-2C handling and reconciliation for flawless compliance.
  • Administer payroll systems by utilizing ADP Workforce Now and Workday platforms to manage data imports, perform audits, and configure payroll setups.
  • Operate the payroll helpdesk by addressing complex inquiries from employees and third parties with efficient resolutions and excellent customer service.
  • Collaborate closely with HR and Finance to generate reports, reconcile payroll data transmissions, and verify report figures.
  • Maintain up-to-date payroll documentation and Standard Operating Procedures compliant with the latest legal standards.
  • Accurately track employee working hours, including overtime and leave, to support smooth payroll processing and ensure adherence to labor regulations.
  • Review staff attendance daily, validate timekeeping entries, and coordinate necessary corrections with management and employees.
  • Calculate payroll adjustments such as paid time off, overtime, bonuses, and commissions related to timekeeping data.
  • Ensure timekeeping policies are consistent with federal and state labor laws and internal policies.
  • Provide employees with information about payroll and timekeeping policies and promptly resolve discrepancies.
  • Update payroll and benefits information in HRIS systems during employee status changes like promotions or terminations.

Qualifications and Skills

  • Minimum of 5 years progressive experience managing multi-state US payroll within a shared service setting plus at least 3 years in payroll, HR, or timekeeping-related administrative functions.
  • Advanced expertise with ADP Workforce Now and Workday systems, complemented by strong Excel skills (including VLOOKUP and Pivot Tables) and familiarity with common timekeeping software such as UKG/Kronos.
  • In-depth understanding of multi-state tax laws and multi-entity payroll compliance.
  • Strong analytical capabilities demonstrated through payroll reconciliation and auditing.
  • Detail-oriented approach ensuring data accuracy and integrity.
  • Effective communicator able to sensitively address payroll-related issues with staff and supervisors.
  • Education: High school diploma required; Associate degree in Business or HR preferred; BS/BA in Accounting, Business, or related field advantageous or equivalent professional experience.
