Job description
Overview
APM Terminals invites applications for the role of Site Administrator based in Sikandrabad, Uttar Pradesh. This role focuses on comprehensive facility management along with overseeing transportation, canteen services, site compliance, third-party staff and vendor administration, and invoice management, ensuring the site operates smoothly and adheres to all relevant regulations and standards.
Facilities Management
- Maintain and oversee the site's infrastructure to ensure operational excellence that meets employees' requirements.
- Guarantee the facilities' safety compliance with health and safety regulations and ensure upkeep is consistent.
- Coordinate repairs and improvements with maintenance teams and external service providers.
Transport & Canteen Management
- Manage employee transportation logistics including scheduling and route optimization.
- Ensure all vendor-provided vehicles meet safety and regulatory standards and maintenance requirements.
- Resolve transport-related challenges aiming to enhance efficiency and reduce delays.
- Supervise canteen operations guaranteeing high standards of food quality, hygiene, and service.
- Collaborate with catering providers to diversify nutritious meal offerings and incorporate feedback for ongoing improvement.
Site Compliance & Audit Support
- Assist Employee Relations Lead and People Advisors to uphold compliance with legal and company policies.
- Support compliance program implementation and facilitate site and customer audits, ensuring necessary documentation is accessible.
- Help implement corrective actions post-audit and maintain continuous compliance.
- Participate in Health, Safety, Security, and Environment (HSSE) activities, including risk assessments and incident investigations.
Third-Party Staff Management
- Act as principal on-site contact for third-party staff, ensuring policy adherence and addressing concerns.
- Maintain detailed records on third-party personnel including personal, employment, and contractual information.
- Oversee onboarding processes, providing orientation and training on workplace policies.
- Plan staffing schedules compliant with labor laws, rest periods, working hours, and overtime rules.
- Monitor attendance system usage, accurately track leaves, hours, and overtime.
- Report on attendance, productivity trends, and support workforce planning through attrition and absenteeism analysis.
Third-Party Vendor Administration
- Manage vendor relationships ensuring contractual service levels and labor law compliance.
- Verify vendors provide mandatory documents such as offer letters, payslips, and ESIC TICs to staff.
- Coordinate smooth onboarding/offboarding in partnership with vendors.
- Provide timely performance and attendance feedback to vendors and ensure corrective measures are documented and tracked.
Invoice Management
- Thoroughly verify invoice accuracy against contracts, SLAs, and purchase orders.
- Manage invoice approval workflows to avoid payment delays.
- Resolve discrepancies swiftly and maintain organized payment and documentation records.
- Conduct monthly audits comparing claimed versus paid salaries and address vendor discrepancies promptly.
