Job description
Overview
We are seeking a Shipping Documentation Specialist to join our operations in Dar es Salaam, Tanzania. This role demands expertise in the launch, maintenance, and management of a Container Management System (CMS) tailored to enhance container handling and logistics processes.
Key Responsibilities
- Lead the launch and deployment of the company's CMS by preparing data and initializing system functionalities.
- Digitize and streamline processes related to offline container pick-up, return, dispatch, and reconciliation into a standardized online system.
- Develop and distribute operation manuals, conduct training sessions for internal employees, trucking companies, and suppliers, and provide day-to-day operational support.
- Continuously monitor CMS system status to ensure accurate logging of container pick-up documentation, cost details, and supplier data.
- Manage user permissions within CMS and maintain fundamental datasets such as supplier registries, transporters, and freight rate catalogs.
- Gather input for system enhancements from business departments and liaise with IT teams or software providers for system updates.
- Oversee digital reconciliation by verifying supplier and transporter accounts through CMS and manage approval workflows to optimize accuracy and speed.
- Generate regular data analysis reports focusing on transportation punctuality, anomalies in container collection, and cost distributions to support cost control initiatives.
Qualifications and Skills
- A bachelor's degree or higher, preferably in logistics management, supply chain management, information systems, computer science, or related fields.
- Between 1 and 3 years of professional experience in logistics, freight forwarding, international trade, or supply chain management.
- Demonstrable project involvement in the deployment, key user participation, or advanced operation of logistics or supply chain systems like CMS, TMS, WMS, or ERP.
- Thorough understanding of ocean freight container operations including pick-up, return, trucking scheduling, and supplier cost reconciliations.
- Proficient with digital tools and technologies, especially in manipulating large datasets using Excel functions such as VLOOKUP and PivotTables.
- Capable of identifying discrepancies between the digital system processes and practical business operations, offering actionable solutions for system improvements.
