About the Role
James M Nash & Co Solicitors, a reputable law firm located in Scariff, County Clare, is looking to hire a Secretary to support their legal team. This position offers flexibility with options for full-time (5 days per week) or part-time (3 or 4 days per week) schedules. The working hours are fixed from 9:30am to 5:30pm on working days. Note that this role requires on-site attendance at the Scariff office; remote work options are not available.
Key Responsibilities
- Deliver secretarial and administrative assistance to solicitors.
- Prepare, type, and format legal documents and correspondence.
- Handle incoming and outgoing mail, emails, and other communications.
- Answer phone calls professionally and manage client enquiries courteously.
- Organize and maintain diaries and appointments.
- Update and manage client files and records systematically.
- Perform scanning, photocopying, filing, and document preparation as needed.
- Maintain precise records while ensuring confidentiality at all times.
- Communicate professionally with clients, solicitors, courts, and associated parties.
- Offer general support to the broader office team as required.
Candidate Profile
- Prior secretarial or administrative office experience is preferred but not mandatory.
- Strong organizational and time-management abilities.
- Meticulous attention to detail and accuracy.
- Proficient typing and document creation skills.
- Excellent written and oral communication capabilities.
- Familiarity with Microsoft Office suite, especially Word and Outlook.
- Professional, approachable, and friendly demeanor.
- Trusted to handle confidential information discreetly.
- Capable of working independently, exercising initiative, and prioritizing tasks.
- A team player comfortable in a small, dynamic office environment.
Experience within a solicitor's office or understanding of legal practices would be advantageous but is not essential.
