Role Overview
The Receptionist will oversee front desk duties and offer essential administrative support that ensures seamless office operations daily. They act as the initial point of contact for visitors, clients, and staff, while also managing meeting room bookings, communications, deliveries, and various administrative tasks.
Key Responsibilities
- Warmly greet and assist visitors to foster a professional and welcoming environment.
- Register visitors and maintain detailed visitor logs accurately.
- Handle inbound calls, emails, and inquiries, forwarding them to the correct departments.
- Assist new hires during their orientation and onboarding processes.
- Manage booking and preparation of meeting spaces for events and appointments.
- Organize appointment schedules and help coordinate administrative activities.
- Manage business card orders and maintain related documentation.
- Prepare monthly reports on office service invoices from providers like DHL and STC.
- Coordinate shipments and courier services; track deliveries and liaise with head office on shipment issues.
- Maintain up-to-date front office records and administrative paperwork.
- Support general administrative functions and undertake miscellaneous tasks as needed.
Qualifications and Skills
- Diploma or Bachelor's degree in Business Administration or a similar discipline.
- Prior experience in reception, front desk, customer service, or administrative roles is an advantage.
- Strong oral and written communication abilities.
- Professional demeanor with a customer-service mindset.
- Excellent organizational and time management proficiency.
- Competent in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to juggle various tasks in a dynamic setting.
- Meticulous attention to detail and aptitude for resolving issues.
- Proficiency in English is required; Arabic language skills are a plus.
