Overview
A company in the steel manufacturing and oil & gas fabrication sector is looking to hire a skilled QA/QC Documentation Specialist based in Dubai. This role is focused on controlling and maintaining quality assurance and control records specifically for miter bend and fittings manufacturing projects.
Key Responsibilities
- Manage and oversee QA/QC documentation related to manufacturing processes of miter bends and fittings.
- Collaborate with teams including QC engineers, production, engineering, planning, client representatives, and third-party inspection agencies (TPIA) to gather, review, submit, and secure approval for quality documents.
- Examine all documents for completeness, correct versions, record traceability, signatures, inspection status, and compliance with established formats before dispatch.
- Create and keep updated registers for documents, inspections, tests, non-conformance reports (NCR), punch lists, and submission trackers.
- Prepare and expedite inspection requests and notifications to clients and TPIA.
- Follow up promptly with QC engineers and other departments to collect pending inspection reports, non-destructive testing (NDT) reports, test certificates, material test certificates (MTC), and calibration certificates.
- Drive timely compilation and submission of manufacturing record books, quality dossiers, and final data books.
- Implement rigorous control over document versions to avoid use of obsolete files.
- Ensure confidential handling and proper archiving of project documents within approved electronic systems.
- Monitor status of document submissions, highlighting any delays or missing documents to senior QA/QC management.
- Maintain both digital and physical copies of records as required by company and project guidelines.
- Coordinate with client and TPIA regarding document feedback, resubmission requirements, approvals, and overall status.
- Organize an efficient filing and retrieval system for all QA/QC materials.
- Verify inspection reports include necessary identifications, dates, approval signatures, and acceptance criteria.
- Ensure consistent referencing of heat numbers, component and weld numbers, drawings, and inspection documents.
- Compile essential supporting documents such as MTCs, NDT and post weld heat treatment (PWHT) reports, hydrotest documentation, dimensional and hardness testing reports, and calibration certificates.
- Prepare comprehensive document transmittals and submission packages per project specifications.
- Promptly address client and TPIA comments and resubmit revised documents within agreed timelines.
- Track approval, rejection, and resubmission statuses, maintaining updated logs.
- Work closely with QC engineers daily to obtain inspection documents immediately after inspections conclude.
- Coordinate with production and engineering teams to recover missing or corrected records needed for submissions.
- Follow up with third-party inspectors, NDT labs, and subcontractors for outstanding reports and certificates.
- Escalate any overdue or critical documentation that could impact product release, dispatch schedule, or project deadlines.
- Assist in preparing and closing quality-document punch points promptly.
Qualifications and Experience
- Diploma or Bachelor's Degree; preferably with experience in technical documentation.
- 3 to 7 years of hands-on experience in QA/QC documentation, document control, or within oil & gas fabrication projects.
- Familiarity with Microsoft Office tools alongside document register management, transmittal processes, and electronic document control systems.
- Ability to interpret basic engineering drawings, inspection reports, material test certificates, NDT documentation, and other quality assurance paperwork.
- Strong organizational, communication, and follow-up skills with a detailed approach to document tracking and coordination.
- Proven capability to ensure punctual, precise, and complete QA/QC document submissions to prevent project delays.
- Expertise in managing document traceability and expediting client and TPIA approval workflows.
