Role Overview

The Plant Administrator plays a crucial role in ensuring the smooth running of the Plant Department by providing comprehensive support in administration, procurement, accounting, and fleet management. The position demands a highly organised and proactive individual capable of handling multiple priorities with precision while maintaining accurate records and adherence to company policies.

Key Responsibilities

  • Coordinate dispatch and return procedures for all plant equipment and vehicles.
  • Manage company vehicle assignments and maintain Benefit-in-Kind (BIK) documentation.
  • Schedule maintenance tasks for vehicles, including NCT, DOE tests, tax renewals, and service appointments.
  • Maintain detailed records related to plant, vehicles, safety gear, and their maintenance activities.
  • Track and report on maintenance needs and any plant or vehicle faults.
  • Handle purchase orders by processing and monitoring them efficiently.
  • Communicate with suppliers about order status, deliveries, pricing, and account issues.
  • Reconcile supplier invoices with relevant purchase orders and delivery notes.
  • Support month-end purchasing and reporting tasks.
  • Accurately process incoming invoices in a timely manner.
  • Reconcile creditor statements and address any discrepancies found.
  • Perform lease reconciliations as required.
  • Issue invoices to both internal and external customers.
  • Develop and maintain various reports utilizing Microsoft Excel.
  • Manage and update plant and vehicle databases ensuring data accuracy and integrity.
  • Assist with month-end reporting processes related to plant and fleet activities.
  • Support general office tasks including filing, archiving, stock checks, and document handling.
  • Arrange travel plans such as flights and accommodation bookings.
  • Provide reception coverage during staff holidays and breaks.
  • Offer support across the Plant Department and other business areas as needed.

Required Qualifications and Skills

  • Previous experience in administrative or accounting roles.
  • Excellent organisational and time management abilities.
  • Strong communication skills, both written and verbal.
  • Meticulous attention to detail and dedication to data accuracy.
  • Proficient use of Microsoft Office suite, especially Excel.
  • Capability to work both independently and within a team setting.
  • Effective prioritisation skills in a fast-moving workplace.
  • A professional, flexible, and proactive work attitude.

Preferred Experience

  • Background in Plant, Fleet, Construction, Operations, Purchasing, or Accounts Payable sectors.
  • Experience handling invoices and performing reconciliations.
  • Knowledge of fleet management and maintenance scheduling procedures.
  • Familiarity with ERP, purchasing, or fleet management software.
