Job description
About the Role
Become part of a prominent African banking group with a century-long legacy, offering regional and international expertise. This position involves coordinating, planning, and executing daily activities related to building services in accordance with organizational policies and procedures.
Key Responsibilities
- Safeguard the bank's assets by performing physical vehicle inspections at dealers following the approved schedule.
- Generate inspection lists of vehicles financed wholesale via the Geolock system to identify vehicles requiring inspection.
- Physically verify vehicle details such as VIN, engine number, and registration against inspection lists.
- Document any vehicles found in unsalable condition, noting damages like scratches or dents on inspection reports.
- Inspect vehicles located off dealer floors at third-party locations, ensuring proper documentation is obtained to confirm custody.
- Check original vehicle ownership documents (Natis) and confirm registration matches the dealer's name as owner and titleholder.
- Develop unannounced inspection routes, adjusting schedules monthly to maintain effective, non-routine visits; submit monthly route plans to management.
- Communicate route plans monthly via email to the Wholesale Finance Line Manager to update on locations and schedules.
- Manage risk by verifying payment settlements for vehicles reported as sold through obtaining proof of payment (deposit slips or EFT copies) and documenting accordingly.
- Confirm delivery dates on inspection lists by securing signed delivery notes from dealers.
- Alert dealers on vehicles with matured or soon-to-mature finance accounts to ensure timely settlements.
- Ensure adherence to payment timelines, following up on non-settled sold vehicles with back office teams within 72 hours of delivery, escalating non-compliance immediately.
- Identify and report any irregularities or risks to line managers and regional offices; contribute to risk mitigation decisions.
- Serve as a communication bridge between dealers and Wholesale Finance & Dealer Relations departments, addressing queries and complaints promptly or directing them appropriately.
- Provide training on processes and conditions related to the Floorplan agreement, particularly addressing dealer defaults such as unsettled vehicles or misuse.
- Collaborate with line managers, provincial heads, and business development officers on dealer facility management, utilization, and feedback provision.
- Offer additional support as needed including extra dealer visits, inspections in other areas, vehicle key and document management, and auditing rotations.
- Apply rigorous risk management controls, promote a positive risk culture, exercise prudent judgment, and ensure timely escalation of issues.
- Understand business processes end to end, including relevant risks and controls to enhance customer service.
- Adhere strictly to company policies and frameworks, highlighting any breaches and requesting exceptions when necessary.
- Immediately report and escalate risk events, actively investigate root causes, and own corrective actions to prevent recurrence.
- Continuously seek improvements in the control environment by anticipating potential process failures and implementing preventive measures.
- Complete all mandatory training within required deadlines.
