Job description
Role Overview
The Information Technology Project Coordinator will oversee project execution, ensuring alignment with approved scopes, timelines, milestones, and deliverables. This role supports project planning, coordination, and daily activities, assisting Senior Project Managers and managing small IT projects from start to finish.
Core Responsibilities
- Monitor project progress to assure compliance with timelines and deliverables.
- Support planning, coordination, issue tracking, and everyday project tasks.
- Assist senior management with governance, status monitoring, and administrative duties.
- Manage and coordinate small IT projects through all phases.
- Utilize Planview for portfolio coordination or JIRA as an alternative.
- Prepare comprehensive project status reports, executive summaries, presentations, and dashboards.
- Keep all project documentation accurate and up-to-date including plans, action logs, risk and issue logs.
- Execute Quality Assurance testing, including creating test scripts, running test cases, logging defects, and vendor coordination for fixes.
- Develop procedures, user manuals, training content, and supporting documents for new systems and processes.
- Conduct and support system training sessions and assist users during technology rollouts.
- Understand demand management along with resource and capacity planning at a strategic level.
- Apply MS Excel efficiently for reporting, utilizing formulas and Pivot Tables.
- Propose improvements in process, reporting consistency, documentation, and project governance.
- Liaise with internal teams, vendors, stakeholders, and project members to ensure deadlines are met.
Candidate Profile
- 3 to 4 years of experience in IT project coordination, PMO, project support, or similar roles.
- Hands-on experience in managing project scope, schedule, risks, milestones, and issue tracking.
- Familiarity with Planview preferred; JIRA knowledge is an acceptable alternative.
- Practical Quality Assurance and testing exposure including test preparation, execution, defect reporting, and vendor management.
- Skilled in developing procedural documentation, training resources, and user guides.
- Experience in conducting training and enabling users with new technology and processes.
- Comprehensive understanding of demand management and resource planning methods.
- Strong capabilities with MS Excel for data analysis, formulas, and pivot tables.
- Adept at generating management reports, executive summaries, and dashboards.
- Excellent skills in organization, communication, stakeholder engagement, coordination, and follow-up.
- Proven ability to independently manage multiple priorities effectively.
