Facility Specialist

About the Role

As a Facility Specialist based in Dubai, UAE, you will oversee the management of company offices, project accommodations, and facility services across the country. Your role is vital to maintaining safe, compliant, and smoothly running workplaces in line with company protocols and UAE regulations. You will play a key part in sustaining business continuity, supporting staff needs, and ensuring operational excellence.

Key Responsibilities

• Oversee daily operations of all company offices and facilities within the UAE.
• Maintain facilities to ensure they are safe, clean, secure, and fully functional.
• Coordinate preventive and corrective maintenance for buildings, utilities, office equipment, and infrastructure.
• Analyze workplace utilization and suggest enhancements to improve efficiency.
• Manage office relocations, refurbishments, expansions, and workspace layout planning.
• Maintain relationships with various vendors including facility management, landlords, accommodation and transport providers, cleaning and maintenance contractors, ensuring service quality and contract compliance.
• Handle vendor evaluations, tendering, contract renewals, and ensure adherence to health, safety, and environmental standards.
• Manage project accommodation arrangements throughout the project lifecycle, ensuring compliance with company and regulatory standards.
• Organize room assignments, mobilization and demobilization, and occupancy forecasting; conduct routine inspections and enforce corrective measures.
• Coordinate procurement of facility goods and services, budget management, and operational expense monitoring.
• Maintain inventory records for office furniture, equipment, and other facility assets; assist with asset lifecycle management.
• Act as the primary contact for facility-related requests and workplace issues, ensuring timely resolutions that enhance employee experience.
• Conduct regular site inspections to validate compliance with company policies and UAE regulations, including health, safety, and environmental requirements.
• Support emergency readiness, evacuation plans, and business continuity strategies, including following up on inspection and audit actions.
• Maintain accurate documentation on contracts, maintenance schedules, inspections, occupancy, and vendor performance.
• Compile and submit reports detailing facility performance, accommodation usage, vendor KPIs, costs, and initiatives to improve operations.
• Drive continuous improvement efforts to optimize facility management operations, reduce costs, and improve workplace sustainability.
• Lead digitalization and process improvements relevant to facility management practices.

Qualifications

• Bachelor’s degree in Facilities Management, Business Administration, Engineering, Operations Management, Hospitality Management, or related fields.
• Minimum of five years’ experience managing facility operations, office administration, property management, or project administration.
• Demonstrated experience overseeing multiple office sites and project accommodation facilities.
• Familiarity with construction, engineering, logistics, industrial, or project-based environments is advantageous.
• Experience working in the UAE is highly preferred.
