Job description

Role Overview

We are seeking a proactive Facilities Officer to oversee all facility operations and contractor services across Kaplan's campuses in Perth, while also providing nationwide facility support. This permanent full-time position, based on the Perth campus, plays a vital part in maintaining campus environments and managing external personnel engagements.

Key Responsibilities

  • Manage and coordinate all facility-related matters on Kaplan's Perth campuses.
  • Operate the Fresh Service task management system, addressing all assigned facilities tickets promptly.
  • Supervise the engagement, coordination, and oversight of external contractors and site maintenance personnel.
  • Maintain the contractor management system ensuring all contractor licenses and insurance documents are current and securely filed.
  • Work collaboratively with campus managers, landlords, and contractors covering diverse facility services including water filtration, hygiene services, office maintenance, AV equipment, cleaning, security, electrical and plumbing upkeep.
  • Conduct routine inspections of campus facilities such as bathrooms, kitchens, classrooms, AV setups, and offices to ensure readiness and compliance.
  • Provide exceptional customer service to staff, contractors, and visitors to foster a positive campus experience.
  • Assist staff with general administrative tasks such as document filing and spreadsheet management.

Candidate Requirements

  • Previous experience in an administrative capacity.
  • Excellent written and verbal communication abilities.
  • Proficiency with Microsoft Office suite.
  • A strong focus on customer service excellence.
  • Exceptional organizational and time management skills.
  • Self-driven attitude with the ability to work independently.
