Job description

Role Overview

Join NZ Transport Agency Waka Kotahi as a Facilities Coordinator in Auckland, supporting the smooth and safe operation of our corporate office spaces. This role involves managing contractor relationships, overseeing maintenance tasks, and ensuring compliance with health, safety, and security standards.

Key Responsibilities

  • Maintain office environments to high standards of safety, productivity, and sustainability.
  • Manage contractor, supplier, and service provider relationships, ensuring compliance with agreed standards.
  • Coordinate orders, purchases, and quotes for facility-related work and supplies, confirming completion.
  • Assist in developing facilities management plans and schedules across multiple sites.
  • Provide accurate, timely reports on facilities performance metrics.
  • Collaborate closely with Corporate Property, Health, Safety & Wellbeing, Security teams, and building occupants to meet requirements and foster strong working relationships.
  • Support ongoing improvements to consistent facilities management practices.
  • Offer backup support for other workplace functions as part of the team’s commitment to Kotahitanga (working as one).

Candidate Profile

  • Understanding of building maintenance, office operations, and managing suppliers.
  • Experience in facilities management, property, or related fields; experience with office moves or minor fit-outs is advantageous.
  • Knowledge of health and safety and security procedures relevant to office and contractor environments.
  • Proven skills in relationship and stakeholder management, especially with contractors.
  • Organized, confident, and capable of balancing multiple priorities with sound practical judgment.
  • Proficient in Microsoft Office and comfortable with administrative tasks.
  • Holds a clean, full New Zealand driver's license and able to travel confidently between offices in the region.
  • Willingness or demonstrated knowledge to engage with Te Ao Māori principles and promote tikanga, Te Reo Māori, and awareness of Te Tiriti o Waitangi as it relates to public service.
