Facilities & Administrative Executive

Role Overview

This permanent position is based in Loyang within the Marine and Oil & Gas sector. The working hours are Monday to Friday, from 9am to 6pm, with transport provided. Compensation includes a basic salary along with a biannual variable bonus.

Key Duties and Responsibilities

• Regularly inspect building facilities and equipment, promptly reporting any defects.
• Manage preventive maintenance and coordinate repairs for HVAC systems, lifts, plumbing, electrical systems, and other facilities.
• Ensure cleanliness and functionality of office spaces, meeting rooms, and shared areas.
• Monitor inventories and replenish supplies for pantry, washrooms, and office essentials.
• Carry out minor repairs such as changing light bulbs and repairing locks.
• Oversee coordination with vendors for cleaning, pest control, security, and waste management services.
• Obtain quotes, evaluate vendor performance, and maintain records of contract renewals.
• Maintain and organize facilities-related documents including records, invoices, and equipment paperwork.
• Handle administration and distribution of personal protective equipment (PPE), safety shoes, uniforms, and life vests for engineers.
• Conduct workplace safety inspections and assist with Risk Assessments, Permit-to-Work processes, and other safe work procedures.
• Inspect and maintain fire safety equipment; coordinate fire drills, maintenance, audits, and ensure regulatory compliance.
• Support Workplace Safety and Health (WSH), ISO standards, regulatory compliance, renovation projects, facility improvements, and energy conservation initiatives.
• Perform additional tasks as assigned to support operational needs.

Candidate Qualifications and Skills

• Having an ITE certification or equivalent in Building Services, Facilities Management, or related fields.
• Possessing 1 to 2 years of experience handling facilities or safety management roles.
• Fundamental knowledge of building maintenance and Singapore’s workplace and fire safety regulations.
• Fire Safety Manager certification or familiarity with Workplace Safety and Health Act is beneficial.
• Proficiency in Microsoft Office; experience with Computerized Maintenance Management Systems (CMMS) or Building Management Systems (BMS) is an advantage.
• Capability to undertake minor hands-on repair tasks and availability for occasional flexible working hours.
• Highly organized, proactive, and effective in coordinating with vendors and internal teams.
